Position Description

The Associate Controller plays a pivotal role in ensuring the financial health and compliance of the institution. Working closely with the CFO and other members of the finance team, you will oversee various financial activities and contribute to strategic decision-making processes.

You will be responsible for maintaining accurate financial records, ensuring financial compliance is maintained, implementing financial policies and procedures, and supporting the college's mission of providing quality education to our students.

Responsibilities

Financial Operations

  • Oversee day-to-day financial operations, including accounts payable, accounts receivable, and payroll.
  • Streamline financial processes to improve efficiency and accuracy.
  • Implement financial software systems or upgrades as needed to enhance productivity and reporting capabilities.

Student Financial Services

  • Collaborate with the financial aid office to administer student loans, grants, and scholarships in compliance with federal and state regulations.
  • Engage with public and private funding agencies to ensure student financial information is recorded and certified as required, including obtaining designations to verify or certify student information in an official capacity.
  • Provide guidance to students regarding financial aid options, payment plans, and tuition assistance programs.
  • Ensure timely and accurate billing and collection of student fees and tuition payments.

Training and Development

  • Provide training and guidance to finance staff on accounting principles, software applications, compliance, and best practices.
  • Stay abreast of developments in accounting standards, regulatory requirements, and higher education finance trends.
  • Foster a culture of continuous learning and professional growth within the finance team.

Internal Controls and Compliance

  • Ensure compliance with accounting principles, regulatory requirements, and college policies.
  • Develop and maintain internal control procedures to safeguard assets and mitigate financial risks.
  • Coordinate with external auditors and regulatory agencies during audits and examinations.
  • Produce reports and complete applications as necessary to maintain compliance with multiple public and private student funding organizations.

Budgeting and Forecasting

  • Assist in the development of annual budgets and forecasts in collaboration with department heads and administrative staff.
  • Monitor budget performance and provide insights into deviations from the planned financial targets.
  • Recommend adjustments to budget allocations based on changing priorities and financial conditions.

Financial Reporting and Analysis

  • Prepare accurate and timely financial reports as requested.
  • Analyze financial data to identify trends, variances, and opportunities for improvement.
  • Present financial information to management and relevant stakeholders to support decision-making processes.

Leadership and Management

  • Craft an aspirational vision of department goals that comport with the school's mission.
  • Establish a regular, evidence based reporting process to measure and support the outcomes of the department.
  • Create and execute departmental plans to improve. Establish clear goals, action items, deadlines and individuals responsible for execution.
  • Develop a culture of excellence by celebrating successes when merited.
  • Ensure there are appropriate backups and redundancies in place should a need arise.
  • Ensure policies and procedures are clearly documented, maintained and accessible.
  • Provide guidance, mentorship, and constructive feedback to team members to foster professional growth and enhance performance.
  • Promote a collaborative and inclusive work environment where team members feel valued, motivated, and supported in achieving organizational objectives.

Qualifications

  • Bachelor's degree in accounting, finance, or a related field (Master's degree preferred).
  • Certified Public Accountant (CPA) designation is highly desirable.
  • Minimum of 7 years of experience in financial management or accounting roles, preferably in higher education or a related industry.
  • Proficiency in accounting software (e.g., QuickBooks, SAP) and Microsoft Excel.
  • Strong analytical skills with attention to detail and accuracy.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively across departments.
  • Knowledge of federal financial aid regulations and compliance requirements is a plus.
