The Dental Operations Manager Level 1 builds partnership with clinical directors and leadership to ensure all clinical aspects of the dental office are functioning in an orderly and efficient manner so that patients receive treatment in accordance with quality assurance standards.
The Manager Level 1 has a strong understanding of business operations to effectively grow a dental practice and develop staff to their full potential.
Essential Functions of the Job :
- Aligns standards of operations with those of San Ysidro Health Dental Department via the following of Policy and Procedures.
- Prepares work schedules for front office, RDA, DA and Providers. Assigns personnel and provides appropriate training. Evaluates work performance and ensures recommendations for personnel actions are within the CORE Value expectations provided by SY Health.
Completes Bi-Monthly Payroll through Dayforce Software.
- Responsible for all hiring aspects for new employees by executing a Request for Position. A Manager also gathers necessary documentation for a request for termination.
- Acts as a liaison between staff and Human Resources when there are staff conflicts, doing due diligence to find solutions to issues before presenting to higher leadership.
- Maintains high level of employee engagement ensuring Customer Service is a primary focus for patient care which results in a 90% or higher score in monthly Patient Satisfactions Reports.
- Oversees the functions of infection control and holds back-office lead and clinical team responsible to ensure all Policies, Logbooks, Testing and standards are followed according to the OSHA Regulations.
Keeps the department informed of latest regulations and ensures that all areas of department are in compliance with OSHA regulations.
- Oversees and holds back-office team accountable to monitor Sterilization checklists weekly, monthly, and quarterly.
- Monitors and works closely with front office Patient Support Representative (PSR) to ensure patient schedules are at capacity to meet productivity goals.
Holds front office PSR responsible to fill all voids in Provider Schedule to ensure productive operations.
- Communicates with Providers regarding patient emergencies, patient location and waiting schedule.
- Monitors dental supply ordering and holds back-office lead responsible to maintain inventory control while being mindful expenditures are within monthly / yearly budgets.
Optimizes use and minimizes cost. Ensures that Supply Budget Report is updated by 15th of each month.
- Responsible to review monthly Financial Reports to ensure accuracy and understanding of operations. Mindful of department goals and works to increase yearly revenue growth while controlling expenditures.
- Responsible to report equipment maintenance and call for repairs in a timely manner as to not negatively impact operations.
Reports all repairs needed to Dental Director.
- Addresses patient complaints or concerns in a timely manner as to avoid grievances and works with compliance and / or risk management to create positive patient outcomes.
- Maintains an organized facility by conducting weekly and quarterly walk-thru.
- Maintains the following reports : Clinical Summary Report, Supply Budget Report, Provider Daily Productivity Goal Report, MOR Financial Report, Provider Time Off Report
- Monitors and holds team accountable to keeps logs of the following : Laboratory work (CC-BB-Partial framework), Unfinished cases and undelivered cases, Dates of spore tests sent to lab and received in office, Film badge exchange and radiation exposure reports, Sharp container recovery levels, Expiration dates of drugs / medicine in medical emergency kit, Level of oxygen in resuscitation cart, Amalgam and lead scrap recovery, Dental unit maintenance, Nitrous Oxide System if applicable to clinic
- Participates in weekly team phone calls, monthly operational meetings and other committees as needed.
- Assists Dental Director with administrative duties to support SY Health strategic plan.
Additional Duties and Responsibilities :
- Complies with established departmental policies and procedures, objectives, quality assurance program, safety, environmental and infection control standards.
- Enhances professional growth and development through participation in educational programs, current literature, in-service meetings and workshops.
- Performs other related duties as assigned or requested.
Job Requirements
Experience Required :
- 3-4 years of experience in a Dental Leadership setting.
- 1-2 years of Manager experience.
Education Required :
Bachelor’s Degree or 3-4 years of equivalent dental administrative experience.
Certifications Required :
Registered Dental Assistant license preferred.
Verbal and Written Skills Required to Perform the Job :
- Bilingual Preferred (English / Spanish).
- Excellent oral and written communication skills.
Technical Knowledge and Skills Required to Perform the Job :
- Operating knowledge of each clinical staff role in back office.
- Excellent computer skills, Microsoft Office.
- Daily operations of dental office, OSHA regulations and safety procedures.
- Ability to prioritize workload and determine priorities.
- Ability to adapt to different interpersonal work styles.
Equipment Used :
Dental machinery / instruments, personal computer, and other office equipment.
Working Conditions and Physical Requirements :
- May be required to work some Saturdays.
- Must have reliable transportation to travel from clinic to clinic as requested by leadership.
- Prolong periods of sitting, walking and some lifting of 25 lbs.
Universal Requirements :
