POSITION SUMMARY We are currently seeking a highly organized and detail-oriented individual to join our team as an Administrative Coordinator.

This is a key role that requires excellent multitasking abilities and a strong background in Operations. If you are a motivated and proactive individual with a passion for organization, process enhancements and relationship management, we would love to hear from you.

ESSENTIAL DUTIES AND RESPONSIBLITIES

Administrative Coordinator Duties :

  • Schedule appointments, coordinate team meetings and send meeting invitations
  • Organize and maintain electronic files
  • Assist in preparing and editing documents, reports, and presentation's
  • Coordinate travel arrangements and accommodations for the team
  • Assist with supporting Advisor sales contests and trips
  • Order office supplies and maintain inventory
  • Assist with on-boarding for staff and other staff support needs
  • Assist with on-boarding and off-boarding for Advisors
  • Coordinate the compilation and management of Advisor training materials
  • Assist with organization of new Advisor training classes
  • Maintain New Client Win distribution and posting
  • Creation and management of Formstack forms for updates and reports
  • Phone system management
  • Manage email distribution lists
  • Maintain Advisor Incentive point tracking
  • Create PowerPoint presentations

REQUIREMENTS :

  • Excellent organizational and time management skills
  • Attention to detail and high level of accuracy
  • Proficiency in PowerPoint, Excel, Word and Outlook
  • Ability to learn and work in multiple software applications
  • Strong written and verbal communication skills
  • Ability to handle confidential information with professionalism and discretion
  • Strong problem-solving and decision-making abilities
  • Ability to work independently and as part of a team
  • Must be local to Indianapolis or surrounding area
  • Must be willing to travel to our Annual Summit in January

PREFERRED QUALIFICATIONS

  • Associate or bachelor’s degree
  • 1-3 years’ experience in a similar role within sales or related area
