Facilities Work Order and Vendor Contact Specialist

Job Description

As a Senior Facilities Specialist you will be the primary liaison between vendors and internal stakeholders. Your responsibilities will revolve around managing vendor relationships to ensure execution of departmental processes and strategies.

RESPONSIBILITIES

• Conduct weekly vendor calls to discuss updates, exceptions, and standards. Review vendor performance and compliance.
• Execute vendor management strategies for National Repair and Maintenance programs.
• On-board and train contractors on CMMS software and Standard Operating Procedures.
• Evaluate vendor performance and effectiveness.
• Manage and assist in resolution of Escalations.
• Collaborate with different teams, departments, and site managers to address escalations.
• Coordinate work with vendors across multiple trades.
• Own resolution of permits, violations, and penalties involving AHJ.
• Proactively communicate schedules, delays and exceptions to stakeholders.
• Assist with acquisition Due-Diligence, and post-acquisition implementation.
• Complete A / R reconciliation monthly.

Qualifications

QUALIFICATIONS

• Minimum of 5 years of experience in direct oversight of high volume, demand service program.
• Experience in managing relationships with external service providers and contractors.
• Proficiency in using CMMS software, Microsoft Office Products.
• Strong communication skills are needed to interact with various stakeholders, including employees, management, and external partners.

Clear and concise communication helps relay updates and schedules.

• Ability to prioritize tasks, manage schedules, and detailed reporting is crucial in ensuring consistent vendor deliverables.
• Capacity to analyze data to track performance and make data driven decisions.
• Adaptable and able to handle unexpected challenges.

Public Storage teammates are expected to work in the office five days each week with the option to take up to three flexible remote days per month.
