Key Responsibilities
- Provide coverage of the Human Resources reception area and main phone line(s).
- Respond to general inquiries and direct them to the appropriate team member or provide direction based on the policy or practice.
- Support the processing of personnel actions by preparing, routing, and reviewing documents submitted to the HR department for approval.
- Maintain employee personnel files, updating the information in a timely fashion to ensure these files are a reliable reference.
- Assist with the maintenance of other HR files as needed, including but not limited to : benefits files, employee complaints / investigations and pulling together documentation for audits as needed.
- Participate in the entry and verification of personnel data inputted in the HRIS system.
- Provide timely and accurate information for verbal or written requests for employment verification. Also, assist the agency’s consultants to ensure unemployment claims are accurately processed.
- Coordinate account creation and termination with ITS, Telecom, Purchasing, and Office Services on a weekly basis.
- Assist with the preparation of the new employee orientation. Including but not limited to setting up the room, preparing and distributing ID cards, and coordinating the delivery of supplies.
- Conduct the organization’s weekly orientation for newly hired staff.
- Assist in the intake and completion of Human Resources forms, such as CORI requests and Form I-9s, as needed.
- Create and maintain a master calendar of activities conducted by the HR department including required mailings, audits, events and trainings.
- Provide support as needed to ensure these deadlines are met.
- Perform other related duties as assigned from time to time.
Skills, Knowledge and Expertise
- A minimum of a high school diploma or equivalent and one to three years of relevant experience required.
- Ability to manage multiple phone lines.
- Strong computer literacy and advanced skills with various applications such as Microsoft Office Suite, G Suite, databases, e-mail and internet.
- Strong attention to detail, organizational, multitasking, and planning skills.
- Ability to work sensitively and effectively with individuals from diverse cultural and economic backgrounds.
Please Note : This is a temporary position that is expected to end in November. There is potential for extension.
