Litigation Assistant required immediately forNational firms Fort Lauderdale FL office.
As aLitigation Legal Secretary you will provide a variety ofsecretarial and administrative duties for assigned attorneys.
Youwill be responsible for interacting with colleagues in a teamsetting and upholding the image of the Firm by maintaining positivecontact with clients attorneys and staff and observingconfidentiality of clientmatters.
TheDaytoday
On any given day youwill be working with firm leadership partners and businesscolleagues on a variety of requests and projects. Youwill :
- Input revise and finalizecorrespondence memoranda and other legal documents. Draft routinecorrespondence memoranda and other documents.
- File legal documents in federal and statecourts including efiling in all courts and agencies; preparedocuments for service of process;
prepare case shell documents foruse by attorneys.
- Verifyall attachments exhibits and enclosures are included withtransmittal letters / memos.
- Proofread documents and check for appropriateformatting spelling and grammar.
- Maintain good public relations withclients.
- Review allincoming mail distribute to teams as needed and upload to theDMS.
- Prepare documentsand packages for mail messenger and overnightdelivery.
- Prepare expensereports manage vendor invoices mailings and request checks asneeded.
- Enter attorneytime. Send time entry reminders.
- Process client billing. Assist with review andedit of bills as necessary.
- Schedule appointment and make arrangements formeetings conferences and travel.
- Complete client / matter intake forms. Requestconflicts of interest checks. Open new files. Prepare files to beclosed.
- Coordinate andfollow through on requests and projects with other supportdepartments (e.g. receptionists file / document clerks officeservices).
- Provideoverflow and absence coverage assistance as well as secretarialsupport for Secretarial Team Membersattorneys.
- Other dutiesand projects as assigned.
You Have
- A minimum of 5 years of litigation secretarialexperience. (Insurance Defense experience is aplus).
- Strongproofreading skills attention to detail and solid grammar / spellingskills.
- High degree ofproficiency with Microsoft programs (Word OutlookExcel).
- Legal citationand legal terminology expertise.
- Familiarity with iManage Compulaw or similartechnology.
- The abilityto organize prioritize and meet the demands off multiple attorneyassignments.
- Flexibilityto work overtime occasionally.
- Good attendance andpunctuality.
