Contracted Office Assistant Southwest Florida (and / or Remote) Part-time (approximately 15 hours per week) Role Summary This position works directly with a local Eminence Outside Sales Representative (OSR).

The OSRs are contracted sales and training representatives to Eminence Organic Skin Care yet maintain their own business entity.

The Office Assistant’s focus is to provide administrative support and partner with the OSR to grow existing Spa Partner accounts and explore new account opportunities.

The Office Assistant works closely with the Outside Sales Representative and the Eminence Central Office in Vancouver to provide exemplary business support and extraordinary service to Eminence Spa Partners.

The Office Assistant will contract directly to the Outside Sales Representative to represent Eminence and is not an employee of Eminence.

The roles and responsibilities listed below will take up an average of 15 hours per week. Working days are flexible. Please note that the number of hours required per week may increase over time.

Responsibilities Records detailed recap of all on-site trainings in the Eminence Customer relationship management software (CRM) as coordinated by the OSR Monitor and manage inbox.

Submit post-training gratis and surveys. Manages the training calendar and confirms trainings with the OSR Maintain submission of monthly training calendar.

Create and post social media content (e.g. : Instagram and LinkedIn) Participates in regular scheduled calls and meetings with the OSR Send out monthly business reviews to spa partners.

Update Eminence maps regularly. Follows the guidelines set out in the Eminence Sales Handbook and any other policies as set by the OSR Attends phone conference calls with the Eminence Central Office Attends the Eminence Annual Business Conference once a year (approximately 3 days in July) for further training and education Email monthly mid-month gap lists to pull through sales and Eminence Loyalty Program redemptions.

Send out monthly business reviews to Spa Partners on the 1st of every month. Ensure emails provide valuable service suggestions and retail components.

Create templates and customizable content Analyze data from Klipfolio to create mid-month gap lists, detailing gaps to month-end goals, and incentives.

Partner with OSR to review opportunities in region Manage quarterly communications to Spa Partners Qualifications Minimum 2 years of experience in office administration Experience in sales support or customer relationship management an asset Experience with managing calendars, scheduling, and coordinating meetings Experience managing social media is an asset Excellent written business communication skills Superior time management skills Outstanding Customer service skills Proficiency in Microsoft Office (Excel, Outlook, and Word) Basic knowledge of bookkeeping an asset Ability to manage priorities and take action with quick decision-making skills Proactive, highly organized, and extremely detail-oriented The Application Please submit a resume with a cover letter.
