TheRose Andom Center is seeking an Administrative Assistant to managedaily office operations and provide general administrative supportto the Executive Director and the Finance & OperationsDirector.
GeneralAdministrative & OfficeSupport :
- Organizeoffice and program supplies for staff andpartners.
- Assist with onboarding andoffboarding of new staff including office tours desk spacecoordination security badge management and technologytraining.
- Support the Finance& Operations Director with staff timesheetmanagement.
- Attend meetings takenotes / minutes and follow up on assigned actionitems.
- Manage calendars and notesfor staff and partnermeetings.
- Organize and maintain bothphysical and digitalrecords.
- Respond to phone calls andemails and monitor sharedinboxes.
- Maintain inventory of printmaterials (brochures flyers) and officeequipment.
- Oversee the PO Box anddistribute incoming / outgoingmail.
- Purchase supplies within theallocated budget as needed.
- Booktravel and conference registrations for staff andpartners.
- Assist in planning andimplementing appreciation events for staff andpartners.
- Perform other tasks asassigned by the Executive Director and / or Finance &OperationsDirector.
FacilitiesAdministration :
- Serveas the primary contact for questions regarding operationsfacilities IT parking andmaintenance.
- Act as a liaisonbetween building tenants and the Rose AndomCenter.
- Communicate building updatesregularly with partners tenants and staff and maintain an accuratebuilding directory.
- Coordinate withCity General Services IT support and other vendors for maintenanceand service requests.
- Assist inmanaging office technology andimprovements.
- Oversee keycard accesssecurity system and track badgeassignments.
- Monitor parking garagesand maintain a list of approvedvehicles.
- Address facilityrelatedrequests or concerns promptly.
- Keepcommon areas such as the copy room intake rooms and food pantryorderly and stocked.
- Perform otherrelated tasks asassigned.
Meeting& EventCoordination :
- Maintainthe schedule for meetings and events reviewing requests for use andproviding necessary support.
- Ensurefurniture and AV equipment are operational and ready foruse.
- Assist with major events suchas conferences and trainingsessions.
Requirements
Qualifications :
- Minimumof two years of experience in an administrativerole.
- Familiarity with nonprofitoperations and commitment to the Rose Andom Centersmission.
- Excellent written andverbal communicationskills.
- Detailoriented observant andaccurate; able to find information quickly andsolutions.
- Reliable consistent andhighly organized with the ability to follow tasks through tocompletion.
- Strong computer skillsand the ability to learn new software; proficiency in MicrosoftOffice Suite Office 365 Administration SharePoint Google tools andVoIP systems.
- Comfortable setting upvirtual and inperson meetings; familiar with Zoom HDMI connectionsand conference call services.
- Ableto provide thoughtful and diplomatic solutions to dailychallenges.
