SUMMARY
Under the direct supervision of the President / CEO in conjunction with the Director of Operations, the Administrative Assistant provides administrative support to ensure efficient operation of the office.
The Administrative Assistant supports the Executive Team, Directors, Manager and Supervisors through a variety of clerical and administrative tasks.
ESSENTIAL DUTIES AND RESPONSIBILITIES including the following. Other duties may be assigned.
Responsible for the development and production or printed materials (forms, brochures, flyers, etc.) to be used in marketing, outreach, and within the clinics and departments of the origination.
Attends informational meetings and serves on committees.
Provides secretarial support to all committees as needed.
Responsible for reserving rooms for meeting and events, and arranging equipment and ordering food for meeting and events.
Coordinates materials and handouts for events.
Sorts and distributes incoming mail. Date stamps incoming mail for medical records.
Produce and distribute correspondence memos, letters, faxes, and forms as needed.
Makes copies of correspondence or other printed materials, as needed.
Able to handle multiple projects.
Able to handle sensitive information in a confidential manner.
Maintains a courteous, helpful and conscientious attitude in dealing with co-workers, patients and their families; ensuring professionalism and confidentiality at all times.
Regular and prompt attendance at work.
Responsible for smooth, coordinated operations of community services programs.
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Must demonstrate good moral fitness and ethical standards.
Must possess the ability to communicate effectively both orally and in writing with staff, the client and the public, to understand and follow standard operating procedures, to perform duties in a professional manner and appearance, and to write and investigate required reports.
Must possesses the ability to make independent and good judgment decisions within proper policy and procedures; Must be detailed oriented and have satisfactory literacy and writing, documentation, communications and interpersonal abilities;
Must be able to plan, coordinate, and expedite work projects. Must have the ability to handle multiple tasks in a dynamic office environment, to work well under deadlines and be able to work alone without direct supervision.
EDUCATION, CERTIFICATES, LICENSES AND / OR EXPERIENCE
High school diploma or general education degree (GED) required. Associate’s degree or one (1) to three (3) months related experience and / or training;
or equivalent combination of education and experience preferred.
