The IG Analyst will assist with processes to transfer electronic and physical client records into and out of the Firm. The IG Analyst will also assist with the coordination and movement of physical records between offices of the Firm and electronic documents between various IT systems that store client and Firm records.
- Works directly with the IG Matter Mobility Coordinator and Supervisor of Matter Mobility Services to implement and execute policies and processes regarding the timely transfer of client records into and out of the Firm.
- Uses the Firm’s Matter Mobility tools to facilitate the collection, review and delivery of electronic and physical files and data.
- Coordinates with relevant parties to confirm that inbound records (physical and digital) are properly classified within all applicable Firm systems.
- Imports electronic records into document management and other Firm IT systems.
- Performs database searches, audits and record reviews to ensure records are imported and exported according to applicable criteria.
- Coordinates with other groups as necessary regarding import / export of data (e.g., eDiscovery and Information Services teams).
- Performs or coordinates transfer audits, as necessary.
- Serves as a resource to answer questions regarding the transfer and movement of client and Firm records.
- Assists with other data movement / clean-up initiatives as identified. Examples include mailbox organization and filing, moving / importing data to FileSite from shared drives, etc.
- Provides office-specific records management support, such as : Ensuring staff requests for the retrieval or return of records are properly and timely processed.
Preparing new files for offsite storage, retrieving files, and coordinating pick-ups and retrievals with our offsite storage vendor.
Interfacing with department personnel, lawyers, and support staff to address requests and questions.
- Ability to lift up to 30 pounds.

- Bachelor’s degree required
- experience in records or information governance with an emphasis on the management, organization and movement of electronic records into and out of document management systems) preferred
- Records, information governance, or library experience helpful.
- Prior experience in a law firm preferred.
- Strong computer and database skills with knowledge of records-specific content management systems.
- Experience using a records management system helpful (ex. LegalKey, FileTrail)
- Proficient in ordinary MS Office productivity applications, and experience using SharePoint or other collaborative file sharing systems.
- Ability to access, input, analyze, and retrieve information from various computer applications and to learn and utilize new applications on an expedited basis.

This position will require physical presence in Proskauer’s offices on a regular basis (at least 3x per week, or more, if it becomes the policy of the Firm or as business needs require).
