Responsible for the day to day supervision of billing coordinators. Responsible for keeping the Director of Administration informed of any areas requiring additional support, etc.
Must also be able to work as a team player with a high degree of professionalism and confidentiality while maintaining a good rapport with employees and lawyers.
The Accounting Supervisor will also maintain a direct line of communication with the Director of Administration.
Specific duties include but are not limited to :
- Daily hands on supervision and meeting with billing coordinators to review billing and collection activities.
- Responsible for billing workload distribution.
- Serve as primary contact for the billing department requiring direct communications with lawyers.
- Responsible for the processing of invoices, noting the accuracy and completeness of bills prior to mailing to the client and obtaining the necessary approvals for write-ups or write-offs.
- Generate monthly proformas and train additional staff as back-up for this function.
- Responsible for the preparation of monthly reports for management (billing and collection performance reports) and provide detail information when requests arise.
- Initiate training of existing and / or new staff related to Elite billing functions.
Accounts Receivable
- Handle responses to Partners for historical client accounting information.
- Responsible to outside auditor’s requests for receivable balance.
- Thorough understanding of existing bank relations, trusts and operating accounts.
- Assist New York Director of Administration with collection efforts
Billing
- Responsible for the processing of invoices, noting the accuracy and completeness of bills prior to mailing to the client and obtaining the necessary approvals for write-ups or write-offs.
- Thorough understanding of bill generation, submission and procedural cycle in order to coordinate staff billing activities.
- Reconcile weekly Trust Accounting.
- Understand trust account practice and bank relations.
- Provide back-up coverage when necessary.
Banking
- Assuring timely deposits of daily receipts.
- Oversee the reconciliation of bank statements.
Secondary duties include :
- Recommend training and cross training for staff as needed.
- Responsible for assisting with workload distribution.
- Conduct staff performance evaluations.
- Abide by all policies, work procedures, instructions and confidentiality of all information.
Knowledge, Skills and Abilities Required :
- Ability to oversee multiple functions while leading and directing the staff.
- Ability to communicate information and respond to inquiries / requests with diplomacy and tact.
- BS / BA in accounting or finance, CPA preferred.
- Must be able to work independently.
- Must be detail oriented and organized.
- Ability to work with a high degree of accuracy.
- Excel experience required.
- Previous experience with Elite Billing system essential preferably in a law firm setting.
Compensation : $87,000 - $131,000
