The Job : The Payroll Administrator & Financial Analyst will be responsible for accurate processing of the Museum's payroll and support of financial planning activities, reporting, analyses, and projections.

Responsibilities

The experience expected from applicants, as well as additional skills and qualifications needed for this job are listed below.

Payroll Administration

  • Prepare bi-weekly payroll using third-party software (ADP) including hourly time import, periodic deductions / adjustments (garnishments, relocation, education reimbursement, taxable and non-taxable benefits), and taxes consistent with federal and state wage and hour laws.
  • Ensure payroll and time tracking systems are set up and updated to reflect the current employee base, including benefits, sick and vacation time.
  • Partner with HR to align and implement sophisticated payroll processes.
  • Serve as primary contact to Museum employees regarding questions and administrative items involving timekeeping and paycheck matters.

Provides exemplary customer services while adhering to fact-based and policy-based approach.

  • Comply with federal, multi-state and local legal / tax requirements by studying existing and new legislation, enforcing adherence of requirements, and advising management on needed actions.
  • Manage regular preparation of relevant management reports including weekly, monthly, quarterly, and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.).
  • Develop and maintain effective working partnerships with third-party administrators, including payroll service provider.
  • Review and prepare information and schedules required for various audits, annual financial statements, insurance coverage, 401(k), Federal, State, and Local tax authorities.
  • Continually review payroll work practices for better operational efficiency; create and maintain payroll guidelines by writing and updating policies and procedures.
  • Proactively identify and resolve potential issues in payroll transactions and processes.

Financial Analysis

  • Develops multi-year projections, annual budgets, and rolling forecasts with team with a particular focus (but not limited to) compensation and benefits.
  • Fluently analyzes and organizes multi-dimensional financial data and other inputs (both qualitative and quantitative) to answer questions, provide business insights / recommendations, and to communicate conclusions to different audiences.
  • Supports Museum departments with monthly financial reporting and variance analysis. Plays an active role in monthly budget review meetings including wage and benefits forecasting.
  • Assists in planning, coordination, processing, and implementation of annual business plan / budget process, including the preparation and review of input from managers, analysis of financial data, and presentation of results.
  • Manages / maintains general ledger (GL) coding module and process as well as relevant records in the payroll system.
  • Prepares and reconciles the bi-weekly payroll journal entries and performs quarterly / annual journal entries for accrued payroll / vacation.

Ties-out results for each payroll to ensure accuracy.

  • Serves as point of contact for managers throughout the museum and provide excellent customer service in answering or routing financial questions.
  • Conducts ad hoc financial analysis as needed.
  • Other duties as assigned.

Qualifications

  • Bachelor's degree in finance, accounting, or other quantitative, analytical field with 2 years of related experience.
  • Knowledge of ADP (WFN, eTIME, etc.) payroll system is strongly preferred.
  • Must possess advanced Excel skills including the demonstrated ability to master new features and formulas. Must have experience 'debugging' large Excel models, tracking errors through complex formula chains and fixing them.
  • Excellent analytical skills and attention to detail is vital.
  • Must work well in a collaborative team environment and adapt well to different communication styles with a customer-focused approach.
  • A willingness to learn, grow, and contribute in other areas of finance and accounting.
  • Must be able to prioritize multiple tasks and change priorities as needed.
  • Must see the big picture and translate into required responsibilities.
  • Strong written and verbal communications skills.
  • Must demonstrate the utmost integrity, discretion, and confidentiality.
  • Certifications and additional credentials, such as CPA, CMA or Certified Payroll Professional are a plus.
  • Must be willing to obtain a Certified Payroll Specialist in ADP Workforce Now status through ADP within 12 months of start.
  • Language
  • Ability to read and interpret documents such as operating instructions, procedure manuals, etc.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of employees of the organization.

  • Ability to calculate figures and amounts such as basic math, percentage, area, etc.

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, or schedule form.
  • Physical
  • While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel and talk or hear.
  • The employee frequently is required to sit, stand, walk, and reach with hands and arms.
  • The employee must occasionally lift and / or move up to 25 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, and ability to adjust focus.
  • Work Environment
  • The noise level in the work environment is usually moderate.
