Job Description
Summary :
This position will be responsible, as directed by the managing counsel of the Governance practice section, for coordinating Governance handling of open records requests and assisting with records management and other Governance projects.
This position will also provide support to the Deputy General Counsel.
Responsibilities :
- As directed by the managing counsel of Governance Practice section, coordinate the following : System Offices open records requests;
- attorney review of member open records requests; preparation of requests for attorney general open records decisions; open records guidance to System Offices and member contacts;
and the system-wide electronic open record management system.
Assist the System Records Management Officer to : maintain the System Records Retention Schedule; provide records retention guidance to System Offices and member contacts;
and review records destruction forms.
- Assist Governance attorneys with legal research, the preparation of correspondence, and the opening and maintenance of legal files.
- Maintain attorney's calendar, schedule appointments and coordinate meetings.
- Coordinate attorney's travels arrangements, prepare expense report in Concur and submit for reimbursement.
- Answer telephone, direct requests and / or take messages.
- Prepare conference rooms and setup for meetings.
- Greet clients / visitors.
Education and Experience :
- Bachelor's degree or any equivalent combination of training and experience.
- Five years of administration experience.
Knowledge, Skills and Abilities :
- Experience with MS Word, MS Excel, and MS Adobe Acrobat X Pro.
- Interpersonal and communication skills and ability to organize effectively.
- Ability to prioritize tasks and meet strict deadlines.
- Ability to multi-task and work cooperatively with others.
