Job Description : Licensing Coordinator
Position Overview : We are seeking a dedicated and detail-oriented Licensing Coordinator to join our team. The Licensing Coordinator will be responsible for monitoring and renewing liquor and food licenses, addressing license violations, resolving licensing issues, and ensuring accurate information is reflected in our licensing database and in the records of the licensing authorities.
The ideal candidate will have excellent organizational skills, strong attention to detail, the ability to work efficiently and independently, and is comfortable diligently following up with various licensing entities to ensure licenses are timely issued.
Responsibilities :
Monitoring and Renewing Licenses / Bonds :
Proactively monitor pending expiration dates of liquor, food licenses, or any required bonds.
Coordinate with relevant authorities and departments to ensure timely renewals.
Coordinate with the restaurant team to facilitate inspections or other renewal requirements.
Keep accurate records of license renewal dates and requirements.
Assist in the preparation and submission of necessary documentation for license and bond renewals.
Track progress and diligently follow up via both telephone and email to ensure timely renewals.
Addressing License Violations :
Receive and track reports of liquor and food license violations.
Investigate reported violations and determine appropriate actions to resolve them.
Coordinate with internal stakeholders and regulatory agencies to address and rectify violations.
Maintain records of license violations, actions taken, and their resolutions.
Resolving Licensing Issues :
Act as the primary point of contact for both internal and external inquiries and concerns related to liquor and food licenses.
Assist individuals or businesses in resolving licensing issues, such as the inability to purchase liquor or lost copies of licenses.
Liaise with relevant authorities and departments to address and resolve miscellaneous licensing issues.
Provide timely and accurate information to stakeholders regarding licensing procedures, requirements, and regulations.
Research & Compliance :
Monitor updates and rules changes within the various jurisdictions to ensure continued compliance.
Review and verify information on existing liquor and food licenses.
Identify discrepancies or outdated information, such as ownership structures.
Collaborate with internal departments and external parties to update and correct information.
Ensure accurate and up-to-date information is provided during license renewals and other relevant processes.
Documentation and Reporting :
Maintain accurate and organized records of license-related activities, including renewals, violations, and issue resolutions.
Generate reports summarizing license statuses, violations, and other relevant metrics as required.
Ensure compliance with record-keeping and reporting requirements set by regulatory agencies.

Qualifications :
Previous experience in license management, compliance, or related roles is highly desirable.
Familiarity with liquor and food licensing regulations, processes, and requirements is preferred.
Strong organizational skills and the ability to manage multiple tasks and deadlines.
Excellent attention to detail and the ability to maintain accurate records.
Strong problem-solving and decision-making abilities.
Effective communication skills, both written and verbal.
Proficiency in using relevant software applications and tools for record-keeping and reporting. Previous experience with License HQ or similar management software is a plus.
