Who we’re looking for
Toyota’s TMNA Manufacturing Operations is looking for a passionate and highly motivated Executive Assistant .
The Executive Assistant will provide administrative support directly to the Executive(s) exercising confidentiality, tact, and diplomacy.
The Executive Assistant will also partner with the management team in daily business operations and project coordination, while handling sensitive and confidential information in a professional and proactive manner.
What you’ll be doing
Support Manufacturing Executives and managers, both American and Japanese staff, located in Georgetown office
Handle all administrative tasks, including mail, catering for meetings, conference room scheduling, and maintenance of office supplies
Manage the Executives’ calendar and travel
Plan and coordinate numerous, complex meetings and virtual meetings, especially with the executives
Manage & administer expense reporting, P-Card reporting, and invoice processing in a timely manner, ensuring correctness
Skillfully navigate competing deadlines and independently leverage alternative resources to achieve optimal operational excellence
Distribute electronic announcements, information, reports, and other documentation on behalf of the business
Manage or coordinate small projects providing cost-effective solutions
Support Japanese English verbal and document translation
What you bring
Administrative experience including customer service / correspondence and handling of incoming calls
Proven recent executive administrative support experience for a large company with operations in the US and overseas especially Japan
Experience with executive travel arrangements (domestic and international) and calendar management
Fluency in Japanese and English and familiarity with Japanese business terminology
Possess the ability to be flexible and learn the work patterns of executive teams
Associate technical degree (or higher), or equivalent experience
Proficient with Microsoft Office Suite (Excel, Power-Point, Word, Outlook).
