Job Description

Job Description : We are seeking a highly organized and proactive Personal Assistant to support our executive team in Birmingham, AL.

The ideal candidate will be a detail-oriented individual with excellent communication skills and the ability to handle multiple tasks efficiently.

This role is crucial in ensuring the smooth operation of daily activities and providing comprehensive support to our executives.

Responsibilities :

  • Manage and maintain executives' calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Act as the point of contact between executives and internal / external clients.
  • Coordinate and organize meetings, including preparing agendas and taking meeting minutes.
  • Handle confidential information with discretion and maintain a high level of professionalism.
  • Assist with personal tasks and errands to support executives' work-life balance.
  • Conduct research and compile data to support decision-making processes.
  • Monitor and respond to emails and other communications promptly.
  • Liaise with other departments to ensure effective communication and coordination.
  • Perform other administrative duties as assigned to support the executive team.

Qualifications

Qualifications :

  • Bachelor's degree in Business Administration or related field preferred.
  • Minimum of 3 years of experience as a Personal Assistant or in a similar administrative role.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and handle multiple projects simultaneously.
  • High level of discretion and confidentiality.
  • Strong problem-solving skills and attention to detail.
  • Flexibility to adapt to changing priorities and work demands.
  • Valid driver's license and reliable transportation.
