PositionPurpose

Reportinginto the Practice Manager the Client Service Representative (CSR)provides an exceptional experience to our clients during everyinteraction.

In addition to continually engaging the client the CSRperforms practice administrative tasks such as record maintenanceand appointment tracking.

The CSR manages practice reception(visitor and telephone) maintenance of veterinary medical recordsaccounts maintenance cash processing data entry word processing andmail services.

The CSR applies practical knowledge of practiceprocesses and services the basic rules and regulations governingvisitors and animal patient treatment and veterinary recordrequirements and terminology to ensure every patient is wellcaredfor and every client has an exceptionalexperience.

  • ActiveListening : Followingthe instructions of Doctors and sometimes patient owners. Pickingup the needs of Doctors and teammates based on prior experiencesandfeedback.
  • OrganizationSkills : Clear tracking of lab specimens medications patient instructionsworkflow and other jobrelated items while managing multiplepatients andclients.
  • ClientSatisfaction : Ensuringall activities and interactions result in the highest level ofclientsatisfaction.

EssentialResponsibilities

  • Leadspractice opening and closing procedures per Practice Managerinstructions and practiceprocedures.
  • Ensuresall public areas are clean and presentable for patients; cleans andstraightens areas including the front desk reception area waitingarea office public bathroom(s) and examrooms.
  • Processescash checks charge card payments and credit accountpayments.
  • Schedulesappointments for the clinic adhering to practice and Doctorpreferences and ensure appropriateworkflow.
  • Assistsin the updating of client / patient files asneeded.
  • Preparesand sends clientcorrespondence.
  • Sendsreminder notices to clients for periodic notifications; conductsrecalls to clients on a timely basis from a call backlist.
  • Performsa backup of the computer system on a regular basis asdirected.
  • Performsand oversees the performance of posting dailybusiness.
  • Welcomesclients and patients to the practice with a warm and friendlydemeanor and ensures an excellent experience during the practicevisit.
  • Answersincoming telephone calls applying proper telephoneetiquette.
  • Presentsclients with medications instructions new client kits and any othertake homeitems.
  • Handlesemergency situations with great care patience and followingestablished clinic policies andprocedures.
  • Addressesclient concerns in a calm appropriate manner ensuring everyexperience ends insatisfaction.
