POSITION SUMMARY / /
You are responsible for the general operations as a Project Manager II for SPMD to ensure all projects you lead are delivered within the agreed scope, time, cost, and quality.
You play a crucial role in communicating project status to internal departments, clients, and external partners and vendors.
WHAT YOU’LL DO HERE / /
- Manage up to mid-level, multi-component projects as a lead and support leadership-lead large-scale multifaceted projects
- Track overall budgets for your projects
- Have consistent and ongoing budgetary accountability for the profitability of projects
- Ensure all projects are delivered within the agreed scope, time, cost, and quality.
- Interface with clients regarding the status of projects, budgets, schedules, invoicing
- Attend OAC meetings and provide status updates to all relevant internal and external parties
- Oversee install teams, both internal and external
- Lead logistics of installs with client, install team, junior PMs, and vendors
- Implement new processes and procedures developed by leadership and ensure compliance with new procedures by the PM department
- Oversee PMs assisting on projects you are leading
- Understand client contracting, purchase orders, and billing terms and drive the contract and billing process for assigned projects
- Ensure deposits are invoiced accordingly and payment is received before the job is released to production
- Work closely with internal departments (Project Management, Design, Shop, and Accounting) to ensure expectations meet SPMD’s and client’s standards and job success.
- Perform the following for all projects :
- Issue Quote requests to vendors
- Write and issue quotes to clients ensuring all information is accurate and pricing is correct
- Write / Issue POs to vendors / sending appropriate information & artwork to get the job into production
- Ensure all POs received from clients are correct and match the current SO in our system
- Create critical path calendars for the project timeline
- Create work orders for every component of a project and track all added documentation needed to successfully shepherd projects from conception to installation
- Create initial Job Cost Forms (JCFs) for every sales order
- Track jobs once in production ensuring all parties are up to date and all information has been communicated to all parties
- Advise and escalate alerts of due dates, errors, and / or changes that would cause delays or potential customer dissatisfaction to management
- Ensure and assist the production process with shop operations (sourcing, materials, purchasing, calendar, reporting etc.)
- Communicate expectations on each project for schedule and deliverables with the assigned team
- When working with outside installers, ensure the approved SPMD Installer has been properly onboarded and briefed before issuing a PO
- Follow company procedures for obtaining and maintaining COI’s
- Assist in the coordination of shipping, obtain shipping quotes, and creating shipper requests
- Ensure all jobs put into production have had sales orders created
- Ensure all receipts for jobs you are lead on are sent to accounting
- Supporting Project Coordinators, facilitating approval for project management deliverables, and managing project management processes
- Sending clients tracking information when applicable
- Closeout job within 24 hours of completion (shipped, delivered, installed) that you are responsible and / or lead on
- Double-check the Work Order for complete accuracy
- Confirm that the approved quote has been updated with all final and accurate pricing
- Confirm that all PO’s have been updated with all final and accurate pricing
- Sending in job to be invoiced to accounting
- Send in completed Job Cost Forms (JCFs) 100% complete and accurate to Accounting Team
- Lead Lessons Learned for all internal teams on a project
- Other job duties assigned by management

Work Environment / Physical Demands
