Job Description

Our team is committed to making a significant difference in the lives of those we serve, and we are currently seeking skilled Office Coordinators to join us in our mission.

Our Office Coordinators serve as the point person for our patients. They provide administrative support to multidisciplinary clinical teams, including physicians, nurses, and APPs, to ensure efficient office operations.

Role Overview :

  • Answer assigned phone lines promptly and professionally, direct calls appropriately, and prioritize effectively
  • Organize and maintain shared email inbox for the clinical teams, ensuring timely responses and clear communication
  • Coordinate appointments, tests, consultations, treatments, and surgeries according to medical urgency, providing clear instructions to patients
  • Prepare various documents including memos, correspondence, reports, and presentations, adhering to mandated formats and readability standards
  • Manage authorizations and reimbursements for physician travel and meetings, maintaining licensures and memberships for attending physicians

Key Qualifications :

  • Experience in customer service / patient service is strongly preferred
  • Strong communication skills and ability to work in a rapid, high-stakes environment
  • Inclusive collaboration skills to work effectively within a multidisciplinary team

Core Skills :

  • Motivated and detail-oriented, with a passion for delivering excellent customer service in a medical office setting
  • Able to thrive in a fast-paced, complex environment
  • Adept at handling high phone volume and stressful situations with professionalism and compassion
  • Organized and able to hold yourself and your team accountable to follow up on tasks in the appropriate timeframes

Additional Information :

  • The general location will be on the Upper East Side. The exact location will be determined during the recruitment process #LI-Hybrid
  • Schedule : Monday - Friday, 9 am - 5 pm, hybrid schedule after training, based on departmental needs
  • Pay Range : $23.03 - $34.67 / hour
