Job Title : Administrative Assistant II
Job location : Slover Library, 235 E Plume St. Norfolk, VA 23510
Schedule : FT Mon- Fri 8 : 30 am - 5pm
Pay Rate : $18.60 / hr
This position provides direct administrative support to members of the Slover Leadership Team; assists with financial and personnel matters;
serves in various liaison roles with other departments; and assists the Director of Slover Library with administrative matters.
This position serves in the Operations Division and reports to the Operations Manager of Slover Library.
Personnel Functions
- Assist HR Liaison with facilitating recruitment process, employee onboarding / offboarding, and related matters for both employees and volunteers.
- Assist ePerformance Liaison with facilitating City performance management system, performance evaluations, reporting and compliance monitoring, cursory audits, and related matters.
- Assist Professional Development Chair with tracking employee professional development efforts and expenses and researching additional development opportunities.
Financial Functions
- Assist Operations Manager with coordinating financial matters for the department including monitoring revenue and expenses, tracking accounts payable and accounts receivable, entering data and supporting documentation into AFMS, pulling reports, reviewing expenditure approvals, administering contracts, and developing and implementing policies and procedures.
- Coordinate procurement of equipment, services, and supplies for the department including preparing and processing expenditure requests, determining appropriate method of payment, monitoring receipt of goods or completion of services, resolving issues, and ensuring compliance with City policy and procedures.
- Monitor, track, develop and audit budgets by researching and gathering budget data, assisting in composing budget requests, providing project status reports, determining the allocation of funds, maintaining records, periodically auditing expenditures, tracking, analyzing and approving expenditures, submitting ordinances, monitoring contract performance, reviewing current and proposed costs, meeting with management to discuss changes, calculating any necessary figures and revising and assisting with the preparation of the budget.
- Collaborate with other staff and external sources in seeking funding and partnership opportunities for new projects and initiatives.
Other Functions
- Performs related duties by assisting with contract administration, attending weekly staff meetings, and coordinating special projects and executive recruitment activities, and assigned research projects.
- Engage in ongoing professional development on finance, human resources, and related topics by attending informational and instructional sessions, staying informed about City policies and procedures, and exploring innovative practices.
- Assist Slover Leadership Team with other projects and administrative tasks, as assigned.
- Coordinate permanent and ad hoc teams for the department, as assigned.
- Conduct research inquiries on various topics, as assigned.
Perform other duties, as assigned.
