Job Description
We are seeking an Administrative Support professional in Broomfield, CO. This role will start off as a 12- month contract and will work onsite / in the office 5 days per week (there are no remote options).
This role will be supporting a Marketing and Communications team and will be responsible for :
- Making travel arrangements and reservations.
- Facilitating timely reimbursements for business-related expenses.
- Setting up and support meetings; keep minutes as necessary.
- Greeting external visitors.
- Ordering catering for meetings.
- Making conference room reservations.
- Coordinating office moves for new and current team members.
- Managing office supplies, assist with branded merchandise orders, and facilitate recognition program orders.
- Providing support to operational activities, day-to-day needs, and special events as an integral part of the team.
- Filing and retrieving records, folders, and other materials. Assist in organizing materials and backups.
- Calendar scheduling for Marketing & Communications leadership, as needed.
- Interacting appropriately with Marketing & Communications staff and others throughout the company to maintain a positive, productive, inclusive, and collaborative work environment.
- Establishing and maintain effective working relationships with people at all levels, from support staff to executives, and be willing to contribute whenever needed in a collaborative manner.
- Working with sensitive and highly confidential information and maintain proper confidentiality.
- Representing organizational unit in understanding and working with administrative policies and procedures.
- Maintaining a regular and predictable work schedule.
Qualifications
- High School diploma or equivalent plus 4 or more years of related experience.
- Each higher-level related degree, i.e., Bachelor's or Master's, may substitute for two years of related experience. Degree must be from a university, college, or school which is accredited by an agency recognized by the US Secretary of Education, US Department of Education.
- Must have advanced computer knowledge (Microsoft Office Applications) and higher-level administrative skills.
- Ability to work with considerable independence and as part of the team.
- Must have ability to work under pressure and handle multiple assignments concurrently.
- Demonstrated decision making based on knowledge of organization policies and procedures.
- Maintaining confidentiality concerning sensitive information is required.
