SCOPE OF WORK :

Under general direction works collaboratively to support the analysis, design, development and implementation of HR activities.

This position will assist in providing essential support to the HR Department in their day-to-day operations contributing to the smooth functioning of HR operations.

ACCOUNTABILITIES :

  • Assists with recruitment and selection ensuring a fluid hiring process by scheduling interviews, conducting reference checks, proctoring interviews and exams, making interview packets, and reviewing live scan information.
  • Ensures accurate record-keeping by maintaining personnel files including new hire records, gathering I9 and W4 information, employment receipt of policies and handbook and other HR related records.
  • Conducts verifications of employment and EDD requests for information processing verifications, creating record logs, and ensuring timeliness of response.
  • Assists in the onboarding process by administering new employment orientations, creating packets of information, relaying information on policies and procedures relations information including safety practices.
  • Maintain tracking employee trainings, and coordinates and schedules training for staff, process staff development request forms and ensures report of staff training are submitted;

distribute physical and digital training materials as needed.

  • Coordinates hotel and accommodations and training registrations.
  • Assists in coordinating agency wide events, trainings and other HR related activities and incentive programs.
  • Updates internal databases and HRM System with new hire data and create various reports as needed.
  • Assist in researching, gathering data for special projects.
  • Reviews, logs, determines priority of and routes correspondence including information memos to staff, requests of information, live scan information to new hires, recruitment response letters.
  • Maintains record keeping for and tracks evaluations including forwarding reminders to department directors. Responds to requests for information when judgment, knowledge and interpretation of policies and procedures are necessary.
  • Reports personnel issues to the HR Director and may assist in gathering information with support and guidance from HR staff.
  • Performs various administrative tasks including requesting updated information (e.g. CDL / Insurance Information), sending out routine correspondence, gathering data for various HR related reports (e.

g. EEO-1 Reporting), filing, opening mail and check signing.

  • Orders business cards and office supplies to ensure 1-2 week turnaround.
  • Performs personnel file and assists with other HR audits as needed.
  • Assists and work as part of the HR Team and collaborate in the development and execution of HR strategies to support agency goals and objectives.
  • Performs other duties including but not limited to fulfillment of work schedules, adherence to attendance policies, and other applicable operating rules, policies and procedures.

  • Ability to accurately record and deliver information, meet deadlines, and maintain confidentiality of restricted information.
  • Knowledgeable of modern office procedures and methods, is proficient in use of computer, Windows operating system including Microsoft Office applications (Word, Excel, and Access) and program data base.
  • Ability to maintain confidential and sensitive information.
  • Ability to perform successfully under moderately stressful conditions.
  • Ability to advise and interpret on the application of policies, procedures and standards to specific situations.
  • Ability to explain, demonstrate and clarify to others, the understanding of the well-established principles, practices, policies and procedures.
  • Ability to supervise, mediate, persuade and influence others.

WORK CONDITIONS & ENVIRONMENT :

  • Work is performed in an office setting as well as traveling to various site locations.
  • Must be able to sit, walk and stand for long periods.
  • Must be able to bend, stoop and reach.
  • Must be able to exert physical effort in light to moderate work involving lifting, carrying, pushing, and pulling.
  • Must be able to read, understand, and explain various forms including oral presentations and written material.
