OVERVIEW
Merrick & Company is seeking a part time Project Administrator in our Albuquerque, New Mexico office. Basic office hours are 9 : 30 am MT to 2 : 30 pm MT, Monday thru Friday.
Some flexibility in these working hours may be accommodated. This position may also require some minimal localized travel and may at times require flexibility in a day’s work hours to accommodate project or office issues.
WHAT YOU'LL DO
Provide specialized administrative support to the Merrick management team and technical staff. Responsibilities include document control, Word processing / preparation of documents, electronic filing, copying, preparation of special reports, preparation of invoices, expense reports, meeting organization and coordination for special events, and general office support.
The Project Administrator would ideally have experience in construction related support activities and is expected to be able to help resolve construction related administrative issues in a timely manner.
- Responsible for maintaining an effective and efficient system for electronic and hardcopy project document management including secure records management, distribution, and retrieval in accordance with Merrick QA Procedures.
- Responsible for typing and integrating accurate edits into engineering reports and specifications (SpecsIntact) as well as quality checking for typographical and grammatical correctness.
- Contribute to project budget estimates and assure project administration duties are performed within budget.
- Maintain project records, files, statistical data, action items, time and attendance records, and meeting minutes.
- Provide administrative support including typing / word processing, mail preparation, copying, and distribution for projects and in support of staff as needed.
- Prepare a variety of correspondence, memorandums, briefings, and other reports required for day-to-day operation.
- Provide support as requested to assure that the office is maintained in a professional appearance and assist with organization, functionality, and preparedness of office equipment, copy areas, supplies and conference rooms.
- Responsible for front desk / reception duties and greeting visitors in a courteous manner.
- Assist with travel arrangements, expense reporting, and word processing.
- Answer telephones, ascertains nature of call and direct caller to appropriate staff. Take a message or personally provide desired information.
- Perform other duties related to office automation requiring skill in general office machines, software, and the internet / intranet.
- Order supplies and equipment as requested by management and technical staff.
- Handle facilities-related duties for the Office Manager, to include activities and organization of company and office related events.
REQUIRED QUALIFICATIONS
- Professionalism in appearance, speaking to groups, writing letters, and sending emails to employees and clients.
- Experience maintaining construction project records and files.
- Must be proficient and capable to take courses in Microsoft Office applications, particularly the latest versions of Word, Excel, Outlook, PowerPoint, and Access.
- Knowledge of Adobe and / or Bluebeam is required, as is the ability to learn Newforma construction and design management software.
- Must have a valid driver's license, a good driving record, and be insurable under Merrick’s insurance carrier.
- Client projects for this position require U.S. citizenship and the ability to pass an enhanced background check.
- Local candidates preferred.
DESIRED QUALIFICATIONS
- Experience working with reproduction, printing, and copying equipment is preferred.
- Experience working in a similar administrative role in the client service fields such as Engineering, Architecture or Consulting Services highly desired.
