We are seeking a Receptionist / Executive Assistant!

We are dedicated to delivering exceptional service and results to our clients. We are currently looking for a highly organized and proactive Receptionist / Executive Assistant to join our team and help us continue to achieve operational excellence.

Role Summary :

As the Receptionist / Executive Assistant at Artistry, you will be at the core of our operations, ensuring smooth and efficient daily activities.

This role demands a detail-oriented professional with excellent organizational and time management skills who thrives in managing multiple tasks and supporting a dynamic team.

Key Responsibilities :

Day-to-day Management : Oversee the smooth execution of daily operations, ensuring project schedules are maintained, and resources are efficiently managed.

Develop and maintain standard operating procedures (SOPs) to enhance workflow efficiency. Manage the CRM pipeline to ensure accurate tracking and reporting of customer interactions and sales progress.

Project Coordination : Act as a point of contact for project inquiries, gather and manage detailed project information, and ensure all logistical needs are met.

Create and update process flows and work instructions to ensure clear understanding and execution of projects.

Financial Management : Accurately and timely handle financial transactions, including accounts payable, accounts receivable, and payroll.

Document and refine financial procedures to ensure consistency and compliance.

Communication : Manage internal and external communications, respond to inquiries, and maintain professional relationships with clients and partners.

Develop communication protocols and templates to streamline interactions.

Event and Meeting Coordination : As the Event and Meeting Coordinator, you will play a pivotal role in the smooth running of our operations.

Your meticulous planning and execution of schedules, meetings, and events will facilitate our continued success.

Required Skills and Qualifications :

  • Proven experience as an office administrator, assistant, or relevant role.
  • Strong ability to use MS Office (MS Excel and MS Word), Google Workspace, HubSpot CRM, and office management software (e.g., ERP).
  • Excellent organization abilities.
  • A team player with a high level of dedication.
  • Excellent communication and interpersonal skills.
