Job Summary : The Office Admin will assist in various tasks in the accounting office with a greater focus on verifying titles, completing payoffs and handling refunds of positive equity on trade-ins.
The Office Admin will be a highly organized and detail-oriented person who will have a focus on Licensing and Titling .
In this role, you will be responsible for overseeing and managing all aspects of vehicle and equipment licensing, titling, and registration for the company.
The ideal candidate will ensure that all required licenses and titles are processed accurately and efficiently while ensuring compliance with state and federal regulations.
You will act as the primary point of contact with regulatory agencies and vendors, handling documentation, renewals, and the resolution of any titling discrepancies.
This role requires strong administrative skills, attention to detail, and the ability to manage multiple tasks simultaneously.

Responsibilities :
Licensing & Titling Management :
Oversee the timely processing of registrations, and titles for vehicles, while ensuring compliance with state and federal regulations.
Documentation :
Maintain accurate and up-to-date records, including license renewals, and title transfers.
Ensure all records are properly filed and easily accessible.
Vendor / Agency Coordination :
Liaise with government agencies, licensing authorities to handle vehicle registrations, titling, and other requirements.
Data Entry & Management :
Accurately input and maintain data related to licensing and titling into internal systems and databases.
Perform routine audits to ensure accuracy and compliance.
Problem Resolution :
Troubleshoot and resolve issues related to licensing delays, title discrepancies, or documentation errors.
Ensure timely resolution while maintaining professional communication with all parties involved.
Administrative Support :
Provide general administrative support, including answering phones, filing and scanning, and assisting with office tasks as needed.
Requirements :
- Experience in Licensing and Titling is preferred but not required.
- Dealership experience is preferred but not required.
- Ability to multitask
- Proficient with Microsoft Office
- Strong record of positive customer satisfaction results
- Team-oriented attitude
- Organizational, communication and computer skills
