We are seeking a highly skilled and detail-oriented School Sports Travel Advisor to manage and oversee travel logistics for school athletic teams.

Key Responsibilities : Comprehensive Travel Planning & Coordination : Collaborate with coaches, athletic departments, and school administrators to design, plan, and implement all aspects of sports team travel, including transportation, accommodation, meals, and itineraries.
Research and secure transportation options (e.g., charter buses, flights) and lodging arrangements that align with team requirements and budget constraints.
Budget Development & Financial Management : Develop and manage travel budgets without compromising quality. Maintain detailed records of expenses, invoices, and receipts, and prepare financial reports for school administration and stakeholders.
Communication & Information Management : Serve as the primary point of contact for all travel-related matters, providing clear and timely communication with coaches, parents, administrators, and student-athletes.
Distribute detailed travel itineraries, including transportation schedules, lodging information, and emergency contact protocols.
Confirm event schedules, locker room arrangements, and special requests for training or recovery needs. Risk Management & Compliance : Ensure compliance with school policies, local regulations, and safety standards, including safeguarding student-athletes and securing necessary travel documentation (e.
g., travel insurance, medical waivers). Develop and communicate emergency response plans. Ensure compliance with child protection and school guidelines regarding off-campus trips, including proper chaperone supervision.
Crisis Management & On-the-Ground Support : Proactively identify and mitigate risks that may impact travel, such as transportation delays, weather conditions, or unforeseen logistical challenges.
Provide real-time solutions to ensure the continuity of travel plans, addressing last-minute changes with professionalism and efficiency.
Maintain availability during travel to assist with urgent matters, ensuring student-athlete well-being and effective resolution of any issues.
Vendor Relationship Management : Build and maintain strong relationships with transportation companies, airlines, hotels, event venues, and other relevant vendors to secure favorable terms and ensure high-quality service.
Post-Travel Analysis & Continuous Improvement : Gather feedback from travelers to identify areas for improvement in future travel planning and execution.
Prepare post-travel analysis for future planning. REQUIREMENTS : Must have a phone (laptop also preferred, but not required) Must have good internet connection.
Must be able to handle working under pressure and meet deadlines consistently. Ability to plan and manage client’s needs with little to no supervision.
