The Insurance Admin will be the first point of contact for client. You will welcome guests and greet people who call or visit the agency.
Insurance Admin duties include offering administrative support for the agency. Insurance Admin 1 must have a pleasant personality in all contacts with our clients.
The ability to handle a request in a timely and effective manner is key to streamlining office operations. Multitasking and stress management skills are essential for this position.
The ability to execute all administrative tasks to the highest quality standards is essential. At weekly staff meetings Insurance Admin 1 will be required to give a summary of all activities and present all claims for the week.
Responsibilities :
- Greet and welcome guests
- Screen guests to determine the best path to provide them assistance
- Answer, screen and forward incoming phone calls
- Check voicemail system each morning and as needed throughout the day and return calls in a timely manner.
- Take accurate messages and deliver to agents
- Gather the appropriate information from the client as needed
- Ensure reception area is tidy and welcoming
- Provide basic and accurate information in-person and via phone / email
- Update calendars and schedule meetings for agents
- Verify appointments
- Perform other clerical receptionist duties such as taking notes, scanning, copying, faxing and mailing documents to clients as needed
- Process payments
- Distribute email, text and faxes as needed
- Make outgoing calls to clients as needed
- Print daily claims report
- Complete 3-day claims follow up call
- Process mortgage and lienholder changes
- Record all transactions with a client in EPIC
- Assist other agents with data entry
Job Requirements
Requirements :
- Proven work experience as a Receptionist, Front Office Representative or similar role for at least 1 year
- Dependable
- Professional customer service attitude
- Ability to be resourceful and proactive when issues arise
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Solid written and verbal communication skills
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- High school degree : additional certification in Office Management is a plus
