Clerk Accounting II (Maintenance Dept.)

2-3 sentences describing job purpose) : The Senior Account Clerk is responsible for providing financial, administrative and clerical services to the department.

This includes opening department mail, data entry, triaging invoices for processing, manning the accounts payable mailbox by printing invoices and responding to inquiries of payment status to ensure timely feedback to vendors, employees, and stakeholders.

Job Duty / Resp. 1 :

Open department mail and distribute daily.

Job Duty / Resp. 2 :

Sort, date stamp, and distribute invoices for the accounts payable workflow process.

Job Duty / Resp. 3 :

Handle the accounts payable electronic mail box which has a huge influx of activities.

Job Duty / Resp. 4 :

Respond to accounts payable inquiries via email and phone calls.

Job Duty / Resp. 5 :

Perform data entry into Microsoft Access Database.

Job Duty / Resp. 6 :

Manage short vendor forms for approval.

Job Duty / Resp. 7 :

Procure department orders and cover department phones as needed.

Job Duty / Resp. 8 :

Perform other clerical duties as assigned.

Instructions : Fill in all blanks and dropdowns.Kronos access questions must be completed for payroll.

Education and Experience Requirements

Education (training / degree) : Required minimum : High School Diploma Preferred : Any combination of education and experience equivalent to graduation from high school and three years varied and increasingly responsible experience in keeping or reviewing financial records.

Experience Requirements : Ability to perform office work with speed and accuracy, establish and maintain effective working relationships, great customer service, and Knowledge of departmental accounting methods and procedures;

practices and terminology used in fiscal record keeping work.

Skills Required : Ability to maintain confidentiality concerning financial files; excellent interpersonal skills; team player;

effective verbal and listening, communications skills; demonstrate sound work ethics; respectful, honest and trustworthy.

Level 1 : Copies, transcribes, enters, or posts data or information.

Level 1 : Follows instructions of supervisor.

Level 1 : Requires minimum responsibility for only small quantities of low cost items or supplies where opportunities for achieving economies or preventing loss are negligible.

Mathematical Requirements :

Level 1 : May use addition and subtraction in documenting student progress, making change, etc.

Communications Requirements :

Level 2 : Reads routine sentences or instructions; writes routine sentences and completes routine work forms; speaks routine sentences using standard grammar.

Level 2 : Performs semi-routine work following procedures, with occasional problems; requires normal attention for accurate results.

Level 4 : Makes decisions with moderately serious impact - affects work unit and may affect other units or citizens.

Level 1 : Handles machines, tools, equipment, or work aids involving little or no latitude for judgment regarding attainment of standard or in selecting appropriate items.
