Overview :

The Florida Gaming Control Commission ( the Commission ) is a five-member commission. Our mission is to preserve and protect the integrity of gaming activities through fair regulation, licensing, effective criminal investigation, and enforcement.

The Commission regulates legal gambling in the state, including licensed pari-mutuel wagering facilities, cardrooms, and slot machine gaming facilities.

In addition, through the Division of Gaming Enforcement, the Commission investigates criminal gambling activity and enforces the state’s criminal gambling laws.

The FGCC’s Division of Pari-Mutuel Wagering is searching for a dynamic Administrative Assistant III.

Position Responsibilities :

The Administrative Assistant III, working under the direction of the Director of Pari-Mutuel Wagering, provides support to the FGCC’s Division of Pari-Mutuel Wagering.

The duties are as follows :

  • Conducting daily administrative tasks and / or assignments;
  • Reviewing transactions in Works and preparing for the Director’s review and approval;
  • Performing the role of STMS approver for the Division;
  • Assisting in travel arrangements and assisting staff in the preparation of travel authorizations in STMS;
  • Maintaining the Director of Pari-Mutuel Wagering’s calendar and scheduling meetings and appointments;
  • Scheduling Chiefs’ meetings and various other meetings for the Director as requested;
  • Reviewing and processing Personnel Action Requests, job advertisements, and position descriptions for the Division;
  • Maintains the organizational chart and vacancy chart for the Division;
  • Processing a variety of correspondence, including confidential and privileged personnel-related matters, and serves as proofreader for the Division;
  • Responsible for tracking waiver files sent to the Commission for approval or denial;
  • Responsible for answering the main telephone line for the Director’s Office and providing customer service to state employees, government agencies, and the public;
  • Assisting Division Chiefs with various administrative tasks or filing as necessary; and
  • Assisting in performing special projects / activities and other office functions as required.

Required Knowledge, Skills, and Abilities :

  • Experience in office procedures and practices. Experience with the principles and techniques of effective communication.
  • Ability to use correct spelling, punctuation, and grammar; type letters, memoranda, and other standard business forms in the correct format;
  • operate general office equipment; handle telephone calls in a courteous, professional, and effective manner; plan, organize, and work independently;

and establish and maintain effective working relationships with others.

Skilled in current STMS practices; Microsoft Office suite; analyzing situations; identifying errors and taking corrective action;

understanding and applying applicable rules, regulations, polices, and procedures; and performing mathematical calculations.

Minimum Qualifications :

  • High School Diploma or its equivalent;
  • Three (3) years of experience as an Administrative Assistant, Administrative Secretary, or Staff Assistant;
  • Proficient in Microsoft Word, Excel, Visio, and Outlook;
  • One (1) year of work experience with the Statewide Travel Management System (STMS);
  • Experience preparing state travel arrangements, authorizations, and reimbursements; and
  • One (1) year of work experience in the state purchasing card application, Works.

Preferred Qualifications, not required :

  • A bachelor's degree from an accredited college or university; and
  • Exceptional grammar skills.
