Accord Carton is looking for a highly detailed Administrative Coordinator. In this role, you will play a crucial role in supporting our team by managing various administrative tasks and ensuring the smooth operation of our office.

You will be responsible for providing administrative support to multiple departments and handling a variety of tasks, from scheduling appointments to managing paperwork.

Requirements :

  • Independently perform high visibility administrative work.
  • Maintain strong relationships with employees, customers, vendors and any other visitors to Accord Carton.
  • Provide general administrative support, such as filing, photocopying and data entry.
  • Greet and register visitors and administer related badging process.
  • Answers, screens and directs incoming calls efficiently in a warm and friendly manner.
  • Maintains strict confidentiality of sensitive information.
  • Retrieves, sorts, and distributes mail, including packages, by department and location.
  • Handles mail runs (including Post Office and FedEx drops) and local deliveries, etc.
  • Maintains, manages, and takes inventory of office supplies, ordering and restocking as needed.
  • Completes daily checks on equipment throughout the office such as soda machines, copiers, coffee makers, etc. and works with the appropriate teams on maintenance and repairs.
  • Organizes and maintains storage areas.
  • Assists with planning and coordinating office events and meetings including ordering food and supplies, preparing the space and cleaning up after the event or meeting.
  • Implements changes independently for areas of responsibility to improve workflow efficiency.
  • Supports various departments with other projects.
  • Performs other duties as assigned.

Qualifications

  • Proven administrative experience in a related position.
  • Bilingual language skills strongly preferred.
  • Excellent interpersonal skills.
  • Strong organizational and multitasking skills.
  • Proficiency in office software (e.g., Microsoft Office suite)
  • Strong attention to detail and ability to solve problems independently.
  • Dedication to maintaining a clean and orderly workspace.
  • Flexibility and adaptability to manage changing priorities and tasks.
  • Physical ability to perform tasks such as lifting (up to 30 lbs.), bending, and standing for extended periods.
  • Positive attitude and a willingness to contribute to a harmonious work environment.
  • Ability to work occasional overtime if necessary.
