kellygovernmentsolutions.com (http : / / www.kellygovernmentsolutions.com / )*OBJECTIVE* : Under this task order, the contractor will independently provide supportservices to satisfy the overall operational objectives of the AdvancedResearch Projects Agency for Health, Strategic Resources Office.
Theprimary objective is to provide services and deliverables throughperformance of support services.*TASKS. *The contractor shall : * Coordinates assistance with planning and execution of programmatic events.
- Assist staff on setting up review panels by producing a key personnel lists, completing administrative reviews, entering reviewers into rosters, preparing meeting folders, submitting federal register notices, communicating with reviewers.
- Coordinate meeting planning and campaign development along with related internal communication elements with requestors and ensure completeness and accuracy of materials before distribution to participants.
- Plan and coordinate logistics (location, facility, participant lodging, equipment requirements, etc.) for major and large scale meetings, conferences, teleconferences and workshops and other similar events in accordance with provided requirements, budgets, schedules.
- Plan and coordinate all aspects of participation to include preparing and delivering forms, applications and presentations, reserving lodging and transfers, and coordinating menu selections for breakfasts and luncheons.
- Conduct site visits and inspections, review cost assessments, and provide summaries and reports to requestors for final decision making and funding.
- Maintains complete records of each event throughout the fiscal year to observe and maintain budget requirements.* Track all meeting costs from start to completion in event database, reconcile with budgets, and provide standardized reporting to requestors, finance and contracting personnel and clinic management.
- Prepare authorizations for professional services performed by non-government travelers and for payment after services have been rendered and submit for payment and approval by government official.
- Ensure Purchase Requests related to events are detailed, routed and authorized according to current policies and procedures and produced according to required timeframes.
- Prepare detailed and summary reports and logs of all tasks following meetings to government official.* Track event compliance requirements, with emphasis on those issued by the Office of Management and Budget (OMB), throughout the planning, execution and after action for each event.
- Supports and provides guidance to meeting planners to ensure that deadlines and event requirements are met.* Schedule meeting planning and coordination, site inspection, budget reviews, etc.
activities and maintain calendars for appointments and schedules.* Serve as point of contact for client, vendors, and participants concerning meeting specifications, requirements, preferences, registration, confirmations, cancellations, schedules and cost summaries.
- Prepare project plans for each meeting, conference or event, including schedules, communication and promotion requirements, participants, supporting resources, and all associated tasks.
- Attends the event and assists with event execution.* Compile handouts and disseminate promotional materials (e.g., flyers, emails, posters), invitations, tent cards and name badges.
- Coordinate RSVPs and the staff welcome booth or table.* Attend all planned events to provide trouble shooting and routine support, to include coordinating spot maintenance and technical support.
- Collaborate with staff on meetings to include registration information, agendas, handouts, room assignments, and audio-visual needs.
- Coordinates travel needs related to events.* Make travel arrangements including preparing itineraries, making transportation and hotel reservations.
- Prepare travel orders and expense vouchers using the NBS Travel Manager System and maintaining files on all travel.* Prepare invitational travel authorizations and other travel and maintain a file of travel authorizations and vouchers.
- Assist Employment Authorization Specialist prepare, submit and track foreign participant visa applications.* Suggests new and unique options to improve event success.
- Develop and maintain Standard Operating Procedures (SOPs) for planning meetings, events and campaigns and submit changes for approval and update as necessary.
- Develop methodologies to implement effective change management related to updates or changes to SOPs.* Assess prior year event plans, budgets and results to identify trends and report results to management.
- Evaluate feedback from meetings, conferences and events and recommend changes and improvements to future events.* Research new trends and industry best practices in event management and recommend changes or improvements to Standard Operating Procedures, event schedules, etc.
