The Windfall is partnering with a Private Equity firm that is seeking to hire an Office Assistant to run their San Francisco Office on a trial to hire basis.
This role will also be providing Executive Assistance support. The firm offers a unique opportunity to work in a professional, supportive, challenging business environment.
The Office Assistant is the company’s face to their business partners and is an essential representative of the firm’s corporate culture.
This is working under the guidance of the New York Office Manager. This role is working in the office Monday-Thursdays, WFH Fridays from 8 : 30am-5 : 30pm with the flexibility for overtime when needed.
Responsibilities
- Welcome and assist with external guests (serve beverages when / if necessary)
- Assist with the coordination of meetings
- Maintenance of the office space
- Manage the conference rooms and keep the whiteboards clean
- Track and order office supplies
- Manage the incoming and outgoing mail and couriers
- Ordering and handling of office-wide meals and pantry needs
- Ensure TVs and Video Conferencing Equipment are working
- Maintain cleanliness and tidiness of the reception / lobby area
- Responsible for keeping the pantry area clean
- Monitor dishwasher and coffee machines
- Manage local vendors
- Assist with any other miscellaneous administrative tasks such as expenses, organizing of conference calls, calendar management
- Organize events for SF office
- Help with travel bookings as needed - including flights, hotels, rental cars, and transfers
- Expense reporting
- Help with calendar management
- Book and coordinate internal and external meetings
- Handling of confidential information and materials
Requirements
- Relevant work experience with similar responsibilities is a plus
- Experience with Google Suite (Gmail, Docs, Sheets, Slides), Microsoft Office (PowerPoint, Excel, Word)
- Knowledge of Dropbox, Slack, Salesforce, Zoom, not necessary, but a plus
- Ability to work quickly in a fast-paced environment
- Able to adjust to sudden change
- Ability to work across time zones
- Outgoing personality and strong communication skills
- Proactive and competent nature reflected in drive and self-initiative
- Service-minded with a can do attitude
