Description
Job Summary :
Reporting to the Director of Academic Support, the role involves providing comprehensive administrative support across Academic and Career Advising, Transfer Student Services, and the Academic Support departments.
Key responsibilities include scheduling appointments, answering phone inquiries, assisting with special events, managing marketing materials, and communicating important information to students.
Additional duties include managing schedules, assisting with accounting tasks, ensuring adequate office supplies, and processing travel reimbursements and expenses.
Effective communication with students and families is also an essential component of the role.
Responsibilities and Job Duties
- Schedule advising appointments for students
- Answer phone calls and assist students, families, and employers
- Assist in coordinating special department events, such as career fairs, new student orientation, registration month kick-off, etc.
- Support the department with routine tasks such as room reservations, maintenance requests, and technology tickets
- Responsible for submitting and requesting department marketing materials
- Assist with the regular maintenance of transfer advising tools
- Communicate registration information to the student population
- Assist new students and their families with the Monarch Way onboarding process
- Process payroll for professional student employees
- Supervise student employees in the One Stop
- Manage weekly schedules for professional and student employees, ensuring coverage and addressing scheduling conflicts
- Schedule appointments, meetings, and travel arrangements
- Assist with accounting tasks, including fund allocations and budget tracking
- Coordinate office supplies, ensuring adequate stock levels and placing orders as needed
- Process travel reimbursements, invoices, p-card, and other expenses
- Other duties as assigned
Qualifications
Experience and Education :
- Bachelor's degree required
- Minimum of 2 years relevant administrative experience required, 5 years preferred; or equivalent level of education and experience
- Excellent verbal and written communication skills
- Strong planning, organizational, and project management skills
- Demonstrated ability to work effectively within a team
- Ability to multi-task, adapt to changing priorities, and meet deadlines
- Advanced computer skills with demonstrated experience using Microsoft 365, including Excel
