Senior Accounts Payable Specialist

Job Summary :
The Senior Accounts Payable Specialist will be responsible for the full cycle of accounts payable activities in a fast-paced environment.
This includes managing vendor invoices, ensuring accuracy and timeliness in processing payments, handling inquiries from internal and external stakeholders, and assisting with month-end close activities.
A significant part of this role involves intense collaboration with the procurement department to ensure that all purchasing and payment processes align effectively.
The ideal candidate will have strong organizational skills, attention to detail, and the ability to work independently as well as part of a team.
Key Responsibilities :
- Invoice Processing : Review, verify, and enter invoices into the accounting system in accordance with company policies and procedures.
- Vendor Management : Communicate with vendors regarding invoice discrepancies, payment status, and resolve any issues in a timely manner.
- Payment Processing : Ensure timely and accurate payment of invoices, including checks, ACH, and wire transfers.
- Procurement Collaboration : Work closely with the procurement team to ensure that purchase orders, receiving documents, and vendor invoices are aligned and discrepancies are resolved efficiently.
- Reconciliation : Reconcile monthly vendor statements, research and resolve discrepancies.
- Month-End Close : Assist with the month-end closing process, including accruals, account reconciliations, and reporting.
- Expense Reporting : Review and process employee expense reports in compliance with company policies.
- Internal Controls : Maintain and improve AP processes to ensure compliance with internal controls and financial regulations.
- Auditing : Assist with internal and external audits by providing necessary documentation and explanation of AP activities.
- Reporting : Prepare and analyze AP aging reports, cash flow projections, and other financial metrics as required.
- Cross-Department Collaboration : Collaborate intensively with the procurement department to ensure a seamless link between purchasing activities and payment processing, ensuring accurate and timely documentation and resolution of any issues.
Qualifications :
- Education : At least a diploma in Accounting, Finance, or related field (required).
- Experience : Minimum of 5 years of experience in accounts payable, with at least 2 years in a senior or lead role.
- Technical Skills : Proficient in accounting software (e.g., SAP, Oracle, or similar ERP systems) and Microsoft Excel.
- Attention to Detail : Strong attention to detail and accuracy in handling financial transactions.
- Communication Skills : Excellent verbal and written communication skills.
- Problem Solving : Strong analytical and problem-solving skills.
- Time Management : Ability to prioritize tasks, meet deadlines, and work under pressure in a dynamic environment.
