District Office ESSENTIAL FUNCTIONS

- Operate as the primary point person for all Non-Pub inquires
- Ensure that forms are filled out completely with appropriate approval signatures and remit to the Director of Federal Programs
- Process claim vouchers for Professional Development activities
- Keeps records of Professional Development activities per month
- File all conference forms and accompanying documentation
- Collect Data for IDOE Monitoring (TI Reporting, ADM Counts, Time and Effort)
- Verify student grade levels, addresses and poverty level to calculate equitable share
Non-public Schools
- Process travel reimbursement claims
- Generate MOUs (yearly) for each school
- Staff assignments (regular and summer school)
- Submit HR memos for new staff to Director of Federal Programs
- Process supplemental pay (PD)
- Process invoice payments
- Remit Budget allocations to Director of Federal Programs
- Order supplies / equipment and check them in for accuracy before pick-up
- Maintain records for equipment / supplies disbursed to schools
- Consult with Non-Pubs four times a year
- Process and Audit Payroll

Knowledge of :
- Federal financial records and grants.
- General office and clerical practices.
- Proficient in Microsoft office Suite (Word, Excel, PowerPoint and Outlook)
Ability to :
- Establish and maintain effective working relationships with employees, students, parents, and the public.
- Handle multiple tasks simultaneously.
- Work without close supervision; perform satisfactorily under pressure and with frequent interruptions.
- Communicate effectively in writing and orally to sufficiently exchange or convey information and to receive work direction.
- Use interpersonal skills to interact with coworkers, supervisor, the general public, etc.
EDUCATION AND EXPERIENCE
High School Diploma, or G.E.D., and a minimum of three (3) years in general office or basic customer service experience;
and / or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
