Job Title : Payroll and Benefits Administrator

Job Overview :
We are seeking a detail-oriented and organized Payroll and Benefits Administrator to join our team. In this role, you will be responsible for managing the bi-weekly payroll process, administering employee benefits, ensuring compliance with regulatory requirements, and maintaining accurate payroll and benefits records.
The ideal candidate will have hands-on experience with payroll systems like ADP , NetSuite , and proficient use of Microsoft Office to manage and report on key payroll and benefits data.
Key Responsibilities :
- Bi-weekly Payroll Processing :
- Oversee and ensure timely and accurate processing of bi-weekly payroll for all employees, including salaried, hourly, and temporary staff.
- Review and audit timesheets, overtime, and leave balances to ensure compliance with company policies and labor laws.
- Resolve any payroll discrepancies or issues and act as the primary point of contact for employee payroll-related inquiries.
- W-2 and Tax Compliance :
- Ensure accurate year-end preparation and distribution of W-2 forms.
- Assist in the reconciliation of payroll taxes and filings, working with external auditors and tax advisors as needed.
- Stay up-to-date on local, state, and federal tax regulations to ensure compliance.
- Benefits Administration :
- Manage all aspects of employee benefits programs including health, dental, vision, retirement plans (401(k)), and voluntary benefits.
- Administer benefits enrollment, changes, and terminations in a timely and accurate manner.
- Provide employees with information and guidance on benefits options and assist with any claims or coverage issues.
- Manage our Wellness Program.
- COBRA Administration :
- Oversee COBRA compliance, including timely delivery of election notices, tracking, and managing COBRA enrollments, terminations, and payments.
- Act as a liaison with third-party COBRA administrators to ensure proper compliance and service delivery.
- Payroll and Benefits Reporting :
- Generate and analyze regular payroll and benefits reports for internal stakeholders (finance, HR, etc.).
- Maintain and update accurate payroll and benefits records within ADP and NetSuite .
- Assist with audits and provide documentation as needed for external audits or reviews.
- System Management :
- Maintain and update employee data in payroll and benefits management systems.
- Troubleshoot and resolve issues with ADP, NetSuite, and related systems to ensure smooth processing and record-keeping.
- Compliance and Best Practices :
- Stay current on changes to federal and state labor laws, tax regulations, and benefits programs to ensure company compliance.
- Recommend improvements to payroll and benefits processes to increase efficiency and accuracy. Qualifications :

- Education :
- High School Diploma required; Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
- Skills & Competences :
- Minimum 5 years of experience in payroll and benefits administration.
- Proficient in ADP (workforce management, payroll, and tax modules), NetSuite (financials, HR modules), and Microsoft Office (Excel, Word, Outlook) is required.
- Strong knowledge of federal and state labor laws, payroll taxes, and benefits compliance (including COBRA).
- Ability to maintain confidentiality and exercise discretion
- Excellent communication skills verbally and written
- High agility and willingness to change and adapt as priorities evolve
- Expertise in establishing relationships with employees and leaders at all levels
- A deep sense of compassion and understanding for the needs of the employees
- Strong work ethic, team player mentality, self-starter

- Physical Demands :
- Ability to sit at a desk for extended periods of time.
- Office Management, one day a week, which may require occasional lifting of office supplies up to 20 lbs.
