Production Manager for Dance & Music

SUMMARY :

Provides production management and administrative support to the Dance & Music Departments; tracks inventory of production equipment and supplies, facilitates production calendar for dance and music, assists with the management of student production events, assists with day-to-day operations of the departments, maintains files on each student containing detailed information on jury forms, proficiency exams, the sophomore review, recital forms, recital programs, recordings and other official correspondence.

As a point of contact for inquiries to the Dance and Music Departments, this position interfaces between the departments and other PBA systems and offices.

Good organizational and computer skills are required, and flexibility is necessary. Per the recommendations of the National Association of Schools of Dance (NASD) and the National Association of Schools of Music (NASM), this position is critical to the operational functions of the dance and music units.

JOB RESPONSIBILITIES :

Production :

  • Coordinate moves of the equipment to and from off-site venues (truck rentals, etc.), and ensure that instruments and equipment are returned
  • Attend production meetings as directed by chairs
  • Secure housing and coordinate travel for guest artists / clinicians
  • Design, edit, and produce performance programs for all recitals and concert events and arrange printing with Support Services
  • Assist with Competition / Festival arrangement details / programs
  • Research needed equipment for rental or purchase for productions
  • Other duties as assigned
  • Complete secondary registration entry and enrollment corrections for each semester
  • Confirm available student recital / senior dance show dates with faculty, and relay to the Events & Auditions Coordinator
  • Record keeping of documented student recital attendance requirements
  • Serve as assigned purchaser from approved online vendors (Ex. Amazon / Staples, etc.) for ordering of needed supplies
  • Assist in updating Recital Packet for posting on MyPBA
  • Assist chairs in collecting data for annual reports and maintaining required archive items for accreditation agencies for each department (NASD / NASM).
  • Maintain Program Archive folders and report to licensing agencies quarterly
  • Assist with group travel arrangements for student travel to conferences, etc. (FMEA, FDEO, etc.)
  • Collect and pack recruiting materials for conferences for faculty trips
  • Manage the Department Chairs’ calendars (Dance and Music)
  • Create minutes for music and dance faculty meetings
  • Maintain student academic files in central location (file jury / recital paperwork, etc.)
  • Other duties as assigned by the chairs and dean.

Financial :

  • Create / process all purchase orders for Dance and Music Departments in Jenzabar, as well as assist with creating hire memos for part-time employees for submission to the CARTS Dean.
  • Process all VISA statements for Dance and Music Departments in bank software and assist chairs in preparing receipts / documentation.
  • Ensure the timely and accurate processing of all orders
  • Responsible for expense management within area budgets of Dance and Music.
  • Other duties as assigned

EDUCATION AND EXPERIENCE :

  • Bachelors degree is preferred, but not required if the candidate has substantial work experience in the aforementioned areas.

  • This individual will regularly interact with current and prospective students, current and prospective faculty members, University personnel, representatives of external organizations, community members, and friends of the University.

MINIMUM EXPERIENCE :

  • Two years of college level coursework with relevant work experience
  • 2 years of office support experience preferred.
