Summary :
We are looking for a highly organized and proactive Project Coordinator to join our Project Management Office (PMO). The Project Coordinator will play a key role in supporting project teams by assisting with the preparation of Statements of Work (SOWs), scheduling resources, managing meeting logistics, and ensuring smooth project execution.
This role requires strong communication skills and attention to detail.
Key Responsibilities :
- SOW Preparation : Assist PMO, Customer Success, and Sales in drafting and finalizing Statements of Work (SOWs) by gathering requirements, defining deliverables, outlining timelines, and following up on manager approvals.
- Resource Scheduling : Coordinate and schedule project resources, including team members, equipment, and materials, to ensure that projects have the necessary support to meet deadlines.
- Meeting Scheduling and Management : Arrange and manage project meetings, including setting agendas, booking meeting rooms, sending invitations, and recording minutes.
- Project Documentation : Maintain and organize project documentation, including project plans, schedules, status reports, and change requests.
Ensure that all documents are up-to-date and accessible to team members.
- Communication : Facilitate communication between project teams, stakeholders, and clients. Keep all parties informed of project progress, changes, and key decisions.
- Task Tracking : Monitor project tasks and deadlines, providing updates to the Project Manager and alerting the team to any potential delays or issues.
- Support Project Execution : Assist in coordinating project activities and ensuring that project goals are achieved on time and within scope.
- Reporting : Compile and distribute regular project status reports to stakeholders and senior management.
- Monitor Project Progress : Track project deliverables and ensure that they meet quality standards. Regularly update project status and report on progress to senior management.
- Assist in Project Planning : Collaborate with IT, Cyber, and Talent teams to develop project plans, including defining project scope, goals, deliverables, and timelines.
Qualifications :
- Education : Bachelor’s degree in Business Administration, Management, or a related field.
- Experience : 0-2 years of experience in a project coordination role or similar administrative role. Experience in SOW writing and resource management is highly desirable.
- Skills :
Excellent organizational and time management skills.
Strong verbal and written communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Familiarity with project management tools (e.g., Microsoft Project, Smartsheet) is a plus.
Ability to manage multiple tasks and prioritize effectively.
Attention to detail and problem-solving skills.
