Our projects reflect a passion for creativity, quality, and attention to detail. We are seeking a highly organized and resourceful Office Administrator to handle purchasing and fulfillment, ensuring the seamless execution of our design projects.
Job Description : The Office Administrator will manage the purchasing and fulfillment processes for the design team, coordinating orders, tracking deliveries, and maintaining vendor relationships.
This role requires a strong attention to detail, excellent organizational skills, and experience in procurement within the interior design or related industries.
Responsibilities :
- Administrative (Ongoing) :
- Greet walk-in guests (2-4 per day).
Design Support (Secondary) :
- Provide concierge design services for walk-in clients.
- Present product options to clients.
- Communicate with clients via email to assist with sales completion.
Specifications (Primary Focus) :
- Create and manage FF&E (Finishes, Fixtures & Equipment) schedules for construction-related items.
- Maintain and update the materials library.
- Meet with vendors to source and review materials for the library.
Purchasing & Fulfillment (Primary Focus) :
- Prepare proposals and manage purchase orders in IVY.
- Track projects, maintain schedules in IVY, and coordinate logistics for deliveries and installations.
- Leverage knowledge of vendor pricing to negotiate the best costs and manage mark-ups for client billing.
- Work closely with designers to ensure accurate product specifications and timely delivery.
- Maintain strong relationships with suppliers, vendors, and manufacturers.
- Oversee inventory levels of materials, furniture, and project-related items.
- Answer phone calls.
- Maintain the showroom, ensuring it is always presentable and organized.
Qualifications :
- Proficient in IVY
- Proficient with FF&E (Finishes / Fixtures / Equipment) in Google Sheets
- Proven experience in purchasing, procurement, or fulfillment (experience in interior design, furniture, or home decor is preferred).
- Strong organizational and multitasking skills, with a high attention to detail.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office (Word, Excel) and Google Workspace; experience with design software or procurement systems is a plus.
- Ability to work in a fast-paced environment and handle multiple projects simultaneously.
- Knowledge of furniture, finishes, and materials used in interior design projects is an advantage.
- Ability to troubleshoot and resolve issues with vendors and logistics.
