Job Description

Uncommon’s Office Manager is a cultural leader and operations extraordinaire responsible for facilitating an inclusive, positive, and productive work environment for Uncommon’s central office staff members.

In this role, you will manage the day-to-day operations at Uncommon’s central office in Manhattan’s Financial District. You will be responsible for developing and implementing effective and efficient office systems, and you will be the go-to person for staff, vendors, and visitors.

You will lead event planning and drive communications to build community and connect central office staff to Uncommon’s mission.

You will also contribute to projects related to central office performance and operational excellence. This position is an exciting opportunity for a highly organized individual with strong interpersonal skills to learn and grow in an organization that values professional development.

Office Operations :

Manage daily operations of Uncommon’s 24,000 sq. ft. central office, including :

  • Develop, enhance, and implement effective and efficient systems and processes to strengthen office operations
  • Ensure operational excellence, including through the delivery of people-oriented service and effective troubleshooting
  • Support a strong culture through ownership of how our office looks and feels, including through new hire onboarding and leading space enhancements
  • Assist with budget development and management of all central office expenses
  • Manage the day-to-day relationship with vendors, IT, and building management
  • Manage and coordinate safety drills and procedures with building management
  • Ensure the COO’s time is maximized and aligned with the organization’s priorities by seamlessly managing the COO’s calendar, arranging meetings, and coordinating all details of travel and creating a comprehensive travel itinerary
  • Provide operational support, including part-time front desk coverage, managing access protocols for staff, vendors, and visitors, and supporting logistics for large meetings

Project Management :

Lead and support management of projects pertaining to central office culture, operations, and communications, such as :

  • Project manage monthly all-staff meetings for 200 in-person and remote participants
  • Lead event planning and management of community-building events for 200 central office staff
  • Project manage creation of Home Office annual calendar

Communications :

  • Ensure all front desk inquiries are addressed in line with Uncommon’s high expectations around employee support
  • Write weekly all-staff newsletter for 200 internal stakeholders
  • Develop and maintain core organizational reference documents and system for sharing them
  • Analyze data around HO Ops Zendesk requests to influence system improvements and proactive communications

Qualifications

Education Requirements :

Bachelor's Degree required

Experience Requirements :

  • 1-2 years of full-time work experience in office management, project management, or a related field :
  • Strong organization skills and attention to detail
  • Ability to manage multiple tasks ongoing and meet tight deadlines
  • Excellent problem-solver who displays a positive attitude, flexibility, and a sense of humor even in challenging situations
  • Excellent communication skills, both verbal and written
  • Ability to work independently and take initiative
  • Strong work ethic and commitment to high standards of excellence
  • Eager to learn and receive feedback
  • Proficient with Microsoft Office Suite including PowerPoint and Excel

Schedule / Travel :

  • This full-time role is onsite 5 days a week at Uncommon’s office in downtown Manhattan.
  • Occasional travel for set up & break down of staff events

Our compensation philosophy is focused on equity and fairness, retaining our talented staff and valuing their expertise, and transparency and clarity.

Compensation for this position : Candidates who meet all job description requirements will likely receive an offer of $61,200.

The starting compensation for this role is between $57,000 to $68,000. The starting pay will depend on various factors including but not limited to relevant professional experience, education, certifications, and tenure with Uncommon Schools.

To receive an offer at the top of the range, candidates will need significant experience beyond the job description requirements.

Because we value staff tenure in a role, we do not currently cap salary ranges for current staff members.
