Position Summary
The University of New Mexico, Office of the University Controller, also known as Financial Services, located on Main Campus is responsible for all central accounting functions for the University.
It is the responsibility of the Controller's Office aka Financial Services to ensure compliance with all financial policies, rules, and regulations adopted by the University or imposed by external agencies, including state and federal audit requirements, following generally accepted accounting practices.
Additionally, the Controller's Office oversees the maintenance of the official financial records of the University.
The Contract and Grant Accounting department has an exciting opportunity for an Administrative Coordinator.
CGA’s mission is to provide professional expertise and quality customer service to the UNM community on externally sponsored funding.
Our department interprets and implements UNM policies related to contracts and grants as well as reviews and interprets policies of outside private and governmental funding agencies.
We also oversee the invoicing and revenue collection process for the funding.
We are looking for someone who works well with others, is willing to learn new skills, and wants to become a part of the exciting role of supporting UNM in research and other sponsored projects.
The preferred candidate will be a self-starter with strong interpersonal skills, excellent organizational skills, the ability to establish priorities and complete projects on time, an eye for detail and the ability to effectively organize, coordinate and complete a wide range of concurrent activities.
Strong verbal and written communication skills, excellent customer service skills, flexibility, and the ability to work independently are a must.
Responsibilities of this position include but are not limited to :
- Provide administrative support to the department including greeting customers, monitoring our main email, purchases, travel arrangements, IT tickets, typing and emailing letters, and other administrative duties.
- Maintain equipment log for the department
- Assist basic HR items including onboarding of new employees
- Handle the daily check log of all incoming checks verifying UNM policy is followed
- Assist with basic Chrome River approvals
- Supervise students including training, directing, and verifying duties are performed timely
- Handle the electronic file retention including updating records as needed
- Coordinate the verification of PI Financial Responsibility statements on sponsored awards
- Assist with award closeouts and coordination
- Support staff as needed with other duties

Salary range is estimated, and actual salary will be determined after consideration of the selected candidate's experience and qualifications.
Conditions of Employment
Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
Minimum Qualifications
High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
