Position Summary :
Responsible for the identification, planning, coordination, and execution of new and existing off-site adoption
opportunities. The Community Adoption Coordinator will seek out opportunities for relationship-building in the
community and promotion of adoption of our shelter animals through community engagement and large and
small-scale off-site adoption events. Responsible for synchronizing all off-site adoption event logistics with internal
departments and external parties, including directing volunteers and monitoring their performance at event
locations.
Essential Duties and Responsibilities :
Identifies, seeks out, plans, and oversees off-site adoption events to make adoption accessible to more
residents of the Las Vegas Valley.
Collaborates with the Event Manager to determine annual off-site adoption goals, objectives, and
strategy.
Works closely with the Adoption Team to identify areas from which there are high numbers of animals
entering the shelter and / or low numbers of adoptions and strategizes ways to build support, awareness,
and adoptions in those areas.
Conducts research, makes site visits, builds local relationships, and finds resources to help make
decisions about off-site adoption event opportunities.
Coordinates all aspects of off-site adoption events, including scheduling, calendar management, facility
needs, inter-departmental communication, volunteer staffing, and on-site event management and problem
solving.
Serves as a liaison between community partners and internal departments with regard to off-site adoption
events.
Prepares proposals, budgets and progress reports for off-site adoption activities, as needed.
Adheres to agreed schedule in order to ensure proper planning and timing of off-site adoption events,
including night and weekend shifts, as necessary.
Maintains cleanliness, organization, and stocking of supplies / forms / materials for events and / or on the
organization’s adoption vehicle.
Manages all aspects of animal care and transportation of animals to and from off-site adoption events.
Properly cleans and disinfects all kennels and adoption areas at event locations throughout the hours of
off-site adoption events.
Interfaces with team members, volunteers, and guests at off-site adoption events to present a positive
public brand image to the community.
Counsels potential adopters through adoptions, educates them on proper animal care if needed, informs
them of medical treatment received or needed by chosen pet(s), processes adoptions in the Chameleon
system, maintains adoption records and paperwork, collects adoption fees, issues receipts, and otherwise
completes the adoption process.
Conducts post-event analysis and follow-up, including updating event results.
Maintains up-to-date SOPs for off-site adoption events and all forms / supplies associated with these
events.
Provides support for on-site adoption event planning and coordination, as needed.
Provides information and assistance to internal and external guests as required.
Contributes to the efficiency and effectiveness of the department’s service to its guests by offering
suggestions and participating as an active team member.
Provides responsive, meaningful and compassionate service to all guests as outlined in the organization’s
Guest Service Charter.
Applies the principles of The Animal Foundation’s Core Values toward the goal of bettering self, the
organization, and others.
Other duties as assigned.
Education and Experience Requirements :
At least one year of experience coordinating or assisting with special events.
The above requirements are minimum. Additional experience may be substituted for education.
License & Certification Requirements :
For the purpose of driving, the incumbent must be at least 21 years of age, and possess and maintain a valid
Class C Nevada Driver License. Incumbents under age 25 must possess and maintain a clean driving record,
and be licensed for at least three years prior. If over age 25, must possess and maintain a safe driving record that
will allow for acceptable insurance risk to the Foundation.
Required Knowledge and Skills :
Knowledge of :
Principles and practices of event planning.
Principles and practices of customer service.
Standard office administrative practices and procedures, including record-keeping systems and the
operation of office equipment, computers, and associated software.
Techniques for dealing effectively with the public in person, over the phone, and by email.
Correct business English, including spelling, grammar, and punctuation.
Skill in :
Gathering and compiling information; preparing accurate reports and summaries.
Maintaining timely and complete records of activities and results.
Working confidently with the public and a wide variety of internal departments.

Working Conditions and Physical Effort :
Physical ability and mobility to work in a typical office environment. Strength to lift and / or move materials
weighing up to 10 pounds frequently, 50 pounds occasionally. Vision to read printed materials. Stamina to sit and
work with a computer for an extended period of time. Hearing and speech to communicate in person or over the
telephone. Accommodation may be made for some of these physical demands for otherwise qualified individuals
who require and request such accommodation. Job incumbent is continuously exposed to animals, animal waste, potentially harmful cleaning chemicals, high
noise and potentially hazardous conditions, including the risk of animal bites and occasional work outdoors for
extended periods of time while exposed to cold and extremely hot temperatures.
