The Administrative Support Specialist plays a crucial role in maintaining office efficiency. They handle communication, file organization, assist in field scheduling, and provide essential support to various departments.

Primary Duties Include (but not limited to)

Serve as the primary point of contact for front desk calls for internal and external communication.

Ability to address operational issues and concerns in a timely fashion.

Work with various municipalities to coordinate inspections.

Possess critical thinking skills and learn new processes.

Answer phone calls, greet visitors, and provide information.

Receives mail, documents, packages, and courier delivers and distributes items.

Schedule and manage appointments, services, and other field related services.

Assist in monitoring various builder portals for appropriate documentation.

Maintain office files, records, and activity logs.

Perform routine data entry tasks accurately.

Collect and processes client VPOs / EPOs as needed.

Address client inquiries and concerns professionally.

Handle office equipment, supplies, and document pickups.

Assist other teams when needed.

Other duties as assigned.

Our ideal candidate will possess the following :

High school graduation or other equivalent (i.e., GED, college, technical or trade school transcript, foreign equivalency, etc.).

Fluent in Spanish, preferred.

Strong computer skills (MS Office Suite).

Plumbing knowledge preferred, but not required.

Construction experience preferred, but not required.

Sage Field Operations (SFO) experience preferred but not required.

Previous administrative experience preferred but not required.

  • Individuals may need to ride or drive in a vehicle up to 2 or more hours at a time depending on position and job location.
  • Performing this job requires frequent use of hands to handle, control or feel objects, tools, or controls. Must be able to sit, talk, hear, and stand frequently throughout the day.
  • Must be able to climb, reach above shoulder height, stoop, kneel, crouch or crawl frequently.
  • Ability to climb up and down steps
  • The position occasionally may require lifting heavy objects (up to 70 pounds) and performing strenuous physical labor under adverse field conditions.
  • High-level attention to detail to ensure accuracy of data.
  • Act independently and originate new approaches to problems.

Maintain initiative to preserve the flow of work.

Work under stress with commitment to deadlines.

Sustain interpersonal relationships, which encourage openness, candor, and trust, both internally and externally.

Complete tasks in an accurate and timely manner.

Maintain Company information in a confidential manner.

Attends work regularly and on time with a minimum of tardiness and absences and adheres to Company policies and procedures regarding absences and tardiness.

Provides adequate notice to higher management about vacation time and time-off requests.

Ability to work accurately and independently.

Excellent written and verbal communication skills.

Ability to learn new methods & systems required to adapt to changes in the work environment.

Accurate, organized and detail oriented with exceptional follow-up skills.

Frequently communicates with customers, managers, field employees on status of projects. Must be able to exchange accurate information in these situations.

Excellent communication, customer service organizational, and problem-solving skills.

Ability to prioritize responsibilities and multi-task in a fast-paced environment.
