Depending on experience of the selected candidate, this position will be hired at the Research Admin 3 or Research Admin 4 level.

DESCRIPTION

The Department of Medicine (DoM) is the largest department within the UCSD School of Medicine (SoM) and is responsible for fulfilling its teaching, research, and clinical missions.

DoM employs approximately 500 salaried faculty, nearly 200 academic appointees, and more than 300 residents, fellows, and postdocs, supported by almost 1,000 staff members.

The Sponsored Projects Office (SPO) functions within DoM Administration and interfaces with data and individuals throughout the department, SoM, campus, and Health System regarding financial and operational matters.

Under the general supervision, this position is responsible for providing comprehensive financial analysis and pre-award grant submission support for multiple divisions in the Department of Medicine.

The divisions' financial management involves multiple faculty and funding sources ranging from Federal, State, private grants, contracts, gifts, investigator-initiated clinical trials, sub awards, fellowships, service agreements, and UC Foundation transfers.

The incumbent will work with multiple international and domestic institutions and multiple sites (e.g. VA, Salk, Scripps Research Institute, Children's Hospital, Baylor University, Harvard University, University of Texas, John Hopkins, and universities in South America, Africa, and Mexico).

This position will directly interface with Division Chiefs and faculty to support the research mission of the Department of Medicine.

The incumbent will use skills as a seasoned, experienced research administrator to independently develop and / or oversee research proposals, awards, and / or transactions related to contract and grant management and maintain contract and grant records in compliance with institutional research sponsor policies.

This position will work on proposals and awards of diverse scope where analysis of data requires a thorough understanding of complex regulations.

In addition to pre-award support, this position will be responsible for managing individual faculty member funding profiles.

This may include sponsored and non-sponsored projects in alignment with the funding agency supporting the faculty's work.

Working with domestic and international partners, this position will seek to ensure sound financial management of sponsored and non-sponsored awards through proactive collaborations with faculty.

MINIMUM QUALIFICATIONS

  • Seven years of related experience, education / training, OR a Bachelor's degree in a related area plus three years of related experience / training.
  • Thorough knowledge of applicable compliance requirements related to the use of human or animal subjects in research, financial conflict of interest, biosafety, etc.
  • Ability to manage a significant volume of transactions.
  • Ability to perform complex financial analysis and customized reporting. Demonstrated experience with the applications of principles and practices of financial management, fiscal planning, and analysis.
  • Demonstrated competence in the use of spreadsheet and database software in financial analysis, fiscal management, and financial reports.

Demonstrated experience designing financial management tools to administer complex awards. Demonstrated experience in budget preparation using automated spreadsheet systems.

  • Ability to maintain independent judgment; strong organization and communication skills; and a customer service focus across broad and diverse subject areas.
  • Maintains current knowledge of compliance regulations in all areas of research administration.
  • Demonstrated knowledge of University policies and procedures relating to contracts and grants; and accounting. Ability to independently interpret, analyze, and implement appropriate policies in a given situation.
  • Demonstrated experience in principles and practices of fund accounting, cost analysis, and audit procedures including UCSD Internal audit requirements.
  • Proven ability to analyze complex financial issues, recognize potential impact, identify creative and alternative solutions;

make and implement recommendations. Demonstrated problem-solving skills and ability to exercise discretion.

Demonstrated experience analyzing expenditures, recognizing trends in order to make informed decisions.
