JOB SUMMARY
The Trauma Registrar will support the Trauma Program with accurate case selection, data abstraction, and coding in the trauma registry.
The database assistant will also administratively support the Trauma Program by preparing presentation materials and supporting the organization’s educational, injury prevention, and performance improvement patient safety meetings and events.
ESSENTIAL FUNCTIONS
1. Maintains trauma database
a. Proper case selection as required by the New Hampshire Trauma Medical Review Committee, American College of Surgeons Committee on Trauma, and Wentworth-Douglass Hospital inclusion and exclusion criteria.
b. Monitors ED logs, reports, and other electronic and paper sources to identify potential trauma cases.
c. Extracts data for all current data fields for the registries from various electronic or paper sources following divisional, ACS, NTDS, and TQIP policies.
d. Fills out data entry forms when appropriate.
e. Performs diagnostic / procedure / location / injury coding following the AIS and ICD-10 guidelines and rules.
f. Performs data entry on the cases selected and extracted adhering to internal, state and regulatory standards.
g. Enters performance improvement and compilation data points.
h. Abstracts cases into trauma registry in required timeframes, performs duties and meets productivity expectations in a manner that allows the trauma registry to meet the necessary standard benchmarks set by the National Trauma Data Bank and NH Trauma Medical Review Committee.
2. Data Management
Assists with cleaning up data using validation reports and correcting errors when identified. Reports discrepancies to trauma program manager when unable to resolve.
a. Performs inter rater reliability to ensure accuracy of data.
b. Generates reports as requested.
c. Assists with data projects including calculations or data mining with direction from the program manager and may include research projects, education and outreach, loop closure, or performance improvement activities.
d. Assists with the preparation of state or NTDB mandatory data submission and ensure submission in accordance with required calls for data.
e. Develops graphs and other reports.
f. Analyzes trends in trauma.
3. TQIP
Attends webinars on TQIP education.
a. Understands and stays current with TQIP concepts, definitions, and requirements.
b. May attend TQIP conference.
c. Performs TQIP data entry when needed.
d. Participates in TQIP program as directed by program manager.
4. Administrative Responsibilities
Assists with the Performance Improvement Program including presentation preparation
a. Assists with Trauma educational or injury prevention sessions by organizing resources, conference promotion, technical assistance, set-up, and education documentation.
b. Prepares agendas, creates necessary documents for meetings, sends meeting notices, assures that appropriate sign-in forms and meeting / conference records are completed and organized.
c. Completes conference and meeting documentation.
d. Medical record abstracting and reporting for PI or other departmental projects.
e. Assists program manager preparing for and participating in the State and / or American College of Surgeons Trauma Center verification visit.
f. Other projects assigned by trauma administration.
g. Participates with American Trauma Society registrar programs and learning opportunities.
Qualifications
Experience Minimum Required
- Medical terminology
- 2-4 years healthcare experience
- Microsoft office skills (Power Point, Word, Excel)
Experience Preferred / Desired
- Associates Degree
- Minimum of 2-4 years of database experience
Education Minimum Required
Participation in trauma conferences
Licensure and / or Certifications Required
- ATSRCB certification- Trauma Society Registry Certification Board within 4 years of hire
- ICD-10 Coding Certificate
- AIS Coding Certificate
