Overview
Reporting to the Sr. Executive Assistant to the President, the Executive Assistant will provide primary support to the SVP level members of the Executive Leadership Team (ELT), and will work closely with their respective leadership teams.
This role is a change agent who will execute administrative tasks and projects aligned with the vision and success of the ELT and the President’s office.
In office position, a minimum of four days a week, but the individual is required in the office when an ELT member is in the office.
Responsibilities
- Coordinate and manage complex schedules, including appointments, meetings, and travel arrrangements for the ELT.
- Serve as the primary point of contact for internal and external stakeholders, filtering and prioritizing communications and ensuring timely responses.
- Work closely with Sr. Executive Assistant to the President to assist with effective and efficient management of the President’s office.
This requires the sharing of information and close partnership to ensure dots are being connected and planning occurs.
- Prepare, review, and edit documents, presentations, and reports as requested by executives, maintaining a high level of accuracy and attention to detail.
- Schedule, prepare materials for, and provide administrative support during meetings, conferences, and events.
- Arrange domestic and international travel, accommodations, visa paperwork, and itineraries, optimizing cost and efficiency.
- Track, reconcile, and submit expense reports, ensuring compliance with company policies.
- Handle confidential information with discretion and be adaptable to various competingdemands.
- Perform all responsibilities and projects as assigned to support the needs of the ELT members.
Qualifications
Knowledge and Skills
- Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills, including strong editing and proofreading abilities.
- Proficient in using productivity tools, such as MS Office Suite (Word, Excel, and PowerPoint) and Google Suite.
- Ability to work with minimal supervision, set goals, create and implement action plans, and monitor progress toward goals.
- Ability to maintain a high level of confidentiality and discretion in handling sensitive information.
- Results-oriented with the ability to complete assignments on time with strong attention to detail.
- Highly detail-oriented while also being able to connect the dots across multiple touch points (emails, meetings, team discussions, etc.
and operate in the best interest of the ELT.
- Proactive and resourceful problem-solving skills, with the ability to anticipate needs and provide timely solutions.
- Excellent interpersonal skills and the ability to interact professionally with individuals at all levels, both internally and externally.
- Strong professional presence and the ability to represent the organization effectively.
- Flexibility and adaptability to changing priorities and work demands.
Qualifications
- Bachelor’s degree preferred or equivalent experience
- 5-7 years of executive assistant experience supporting VP Level or above
- At most recent, two to three years of experience as assistant to a senior executive level position with the following demonstrated abilities
- Experience in handling a constant-changing calendar
- Coordinating meeting rooms / conference centers and all logistical and AV support
- Arrange international travel plans with multiple destinations
- Basic knowledge of major city-to-city travel requirements (e.g. visa)
- Able to travel for off-site (domestically)
- Strong planning skills for business events, meetings, social events, etc.
- A knowledge of the retail industry with active connections
- Be available on off-hours during business travel should changes in plans occur
- Show professionalism with high-profile internal and external executives
- Excellent organization, communication, and time management skills
