Records Management Assistant
Diversicare is currently looking for a dependable and detail-oriented individual to join our team as a Records Management Assistant with the ability to operate a box truck. This role involves handling, organizing, and transporting confidential documents, while maintaining clear and professional communication with team members and clients. Documents may include medical records and other patient health information (PHI), so strict compliance with the Health Insurance Portability and Accountability Act (HIPAA) is a must.
Warehouse Duties
- Receive, label, and store, incoming document boxes and files according to Diversicare policies
- Retrieve and prepare documents for scheduled deliveries or pickups
- Maintain accurate inventory records using warehouse management systems
- Ensure proper handling and storage of sensitive and confidential materials
- May operate pallet jacks, and other warehouse equipment safely
- Safely operate shredding machines as directed
- Keep warehouse clean, organized, and compliant with safety standards
Driving Duties
Safely operate box truck for local and regional deliveries / pickupsLoad and unload document boxes using proper lifting techniquesConduct pre-trip and post-trip vehicle inspectionsFollow scheduled routes and delivery timelinesComply with DOT regulations and company vehicle safety policiesCommunication Duties
Communicate clearly and professionally with clients during pickups and deliveriesCoordinate with warehouse staff and supervisors to ensure timely and accurate serviceReport any issues, delays, or discrepancies promptlyMaintain a professional demeanor at all timesQualifications
Qualifications :
High School Diploma or EquivalentValid Driver's License with clean driving recordExperience driving box truck preferredPerform physical tasks as requiredStrong written and verbal communication skillsAttention to detailStrong organizational skillsAbility to work independently and part of a teamBasic computer skills (data entry, inventory tracking)Physical Demands :
Standing / Walking : Must be able to stand and walk for extended periods (up to 8-10 hours per shift).Lifting / Carrying : Frequently lift and carry items weighing up to 50 lbs.; occasionally up to 75lbs. with assistance.Pushing / Pulling : Use manual equipment to move heavy loads.Climbing / Bending / Stooping / Twisting : Regularly required to climb ladders, bend, stoop, twist, kneel, and reach overhead.Manual Dexterity : Use hands and fingers to handle, feel, and operate tools and equipment.Environmental Conditions : Work in varying temperatures (hot, cold, humid) and around moving machinery and noise.Other Job Demands : The above statements reflect the general duties considered necessary to describe the principal functions of the job as identified and shall not be considered as a detailed description of all the work requirements that may be involved in the position.
