About this Position
The Administrative Specialist II is an admin job that's part of Public Works Administration. They perform general clerical services and related duties for the Public Works Department.
This administrative specialist job includes exercising independent judgment, initiative, and discretion to apply administrative policies and procedures to perform clerical tasks.
Additional, Public Works Administration employees are required to work during emergency situations to assist field employees.
Should an emergency arise or continue after normal working hours, Public Works Administration employees may be asked to provide their services on a voluntary basis until the emergency is resolved.
This position will operate on a daily schedule of 7 : 30 am to 5 : 30 pm Monday through Thursday, with a half day on Friday (7 : 30 am to 11 : 30 am).
Responsibilities
- Operate a computer to enter data into the work order system and other data tracking systems
- Utilize software pertaining to specialized programs
- Answer multi-line telephone calls, give information to callers, initiate service requests, and route calls to the appropriate authority for disposition
- Respond to emails with information, initiate service requests, and / or follow up with appropriate Public Works personnel
- Enter data in established reporting formats
- Assist and backup other staff members
- Perform basic administrative duties including typing, record keeping, faxing, filing, and ordering supplies
- Work extended hours to assist field employees during emergencies (as needed)
Qualifications
- High school diploma or GED equivalent
- 12 to 18 months of related experience and / or training Or equivalent combination of education and experience
- Experience utilizing data entry software and Microsoft Office products (Excel, Word, etc.) (preferred)
- Experience utilizing multi-line phone systems
- Valid Oklahoma Driver's License and a driving record acceptable to the City's insurance carrier
Necessary Skills
- Skill in using a computer
- Ability to use discretion and maintain confidentiality
- Ability to speak clearly, listen well, and effectively exchange information with callers
- Ability to meet the required physical standards for this position
- Ability to pass extensive background process and pre-employment drug and audio screenings
