Summary
This role focuses on the "3 R's" recruitment, retention, and recognition to engage volunteers in various capacities, including coaches, team volunteers, leadership roles, and fundraising efforts.
The Volunteer Manager will collaborate closely with the community and staff to manage all aspects of the volunteer engagement lifecycle, aid in the recruitment of new athletes and partners, and assist local programs in achieving goals, objectives, standards, and mission.
KEY RESPONSIBILITIES
Program Management :
- Demonstrate a commitment to diversity, equity, and inclusion in all aspects of operations.
- Adhere to regional and HQ deadlines for reporting, submissions, and compliance requirements.
- Aid in the development and execution of the region’s annual community engagement plan.
- Contribute to the development of the region’s annual program budget, including review and expense management.
- Support fundraising projects as directed.
Recruitment :
- Engage community resources such as service and civic clubs, parks & recreation departments, schools, community organizations, and local businesses to support programs.
- Collaborate with the team to recruit and train volunteers for leadership roles.
- Create and promote the region’s volunteer recruitment plan to ensure sufficient leadership, coaches, team, and event volunteers for all programs and initiatives.
- Help promote athlete and partner participation in opportunities beyond sports, such as health initiatives and fundraising efforts, and support leadership programs by assisting with recruitment.
- Lead recruitment and management of volunteers, volunteer committees, and athletes to support events.
- Manage the placement of coaches and team volunteers within local programs.
- Manage event volunteer logistics, ensuring all positions are posted 4-6 weeks prior to the event and are accurately described.
- Oversee targeted recruitment and placement efforts for internships and administrative volunteers.
- Utilize volunteer management software to ensure accurate posting of opportunities, monitor reports, and contribute to event success.
Retention :
- Coordinate with staff to ensure volunteers are adequately prepared with necessary information, training, and equipment.
- Ensure timely support for volunteers and assign meaningful roles.
- Oversee the placement of volunteers for ongoing opportunities.
Recognition :
- Assist with implementing volunteer appreciation strategies during Volunteer Appreciation Week.
- Ensure compliance with volunteer appreciation guidelines.
- Send thank-you letters and acknowledgments using volunteer management software.
School and Community Program Integration Support :
- Maintain clear communication with all partners, providing technical assistance to ensure compliance and the successful delivery of services.
- Provide regular updates to local programs, families, and volunteers on activities and events.
- Foster collaboration across departments to connect participants and their families to available programs, including school and community initiatives, sports, leadership, health, fundraising, and marketing.
- Participate in events and seasonal expos to engage athletes, partners, volunteers, and donors.
- Support local programs in coach education, training, competition, and volunteer engagement.
Leadership and Team Management :
- Assist teammates to optimize team efficiency and program effectiveness.
- Assist with the management of regional assets, including office and storage facilities.
- Attend meetings, public events, workshops, seminars, and program events; serve on committees and task forces as assigned.
- Participate in special projects and volunteer event planning committees.
- Supervise varying levels of volunteers, including interns.
EDUCATION AND / OR EXPERIENCE :
- Bachelor’s degree from an accredited college / university and / or related professional experience.
- Minimum of 3 years of volunteer management experience with expertise in recruitment, retention, and recognition phases.
- Knowledge of volunteer management practices to develop and implement project plans.
- Paid or volunteer experience working with individuals with disabilities preferred.
