JOB GOAL :

The job of Senior Executive Assistant to the Superintendent and Office Administrator will provide high-level administrative support to the Superintendent and manage the general administration of the Superintendent’s Office.

The individual will be flexible and able to handle diverse bodies of work simultaneously. Additionally, this person must exemplify exceptional customer skills when dealing with internal and external stakeholders ensuring administrative obligations of the Superintendent’s Office are running efficiently and smoothly.

  • The incumbent will provide a variety of secretarial / administrative support, interfacing with the LRSD School Board and the Office of the Superintendent as assigned by the Superintendent;
  • establishing and maintaining records; tracking funds and purchasing; compiling reports; ensuring compliance of documents with mandated requirements;

establishing and maintaining positive interactions; and monitoring assigned projects and program components. Perform general clerical duties / administrative functions as assigned.

TERMS OF EMPLOYMENT :

Twelve-month contract (245 days) Plus Benefits Package. NOTE : Precise placement on the salary schedule will be determined based on experience.

Schedule 804 Range 118 : $52,836- $91,802.

QUALIFICATIONS :

  • Bachelor’s degree from a college or university required or a minimum of five years providing administrative support to a senior executive.
  • A minimum of ten years of relevant professional experience is required. Proven track record of excellent follow-through and accountability.
  • Knowledge of secretarial procedures and office management techniques; correct English and grammar, punctuation, spelling, and proofreading;

record-keeping and filing systems; general finance and accounting principles.

  • Skill and ability to communicate effectively, both verbally and in writing, with diverse groups including top-level administrators and Board members;
  • prepare concise and correct written communications; prepare documents and complete work assignments; exercise analytical and independent judgment;
  • set up and keep up database files; utilize time management techniques to organize and prioritize work; coordinate a variety of projects simultaneously;
  • read, interpret, research, explain, and apply laws, rules, regulations, policies and procedures on Administration office operations;

accurately record / transcribe meeting minutes; keep up cooperative working relationships.

  • Demonstrated competency in standard office administration programs such as Microsoft programs, including Word, Excel, PowerPoint, and Access, as well as other microcomputer applications and standard office equipment.
  • Must be highly proficient in Google applications and other technologies.

Serves as a key liaison between the Superintendent and key internal and external partners, clients, institutions, LRSD school board, and other stakeholders, providing excellent customer service.

Attends meetings for the purpose of conveying and / or gathering information required to perform functions.

  • Supports communication and problem-solving processes among all central office divisions and departments.
  • Provides highly confidential support with managing, responding to, following up, tracking, and disseminating information sent to the superintendent.
  • Organizes all logistics for Superintendent meetings. Maintains and distributes meeting-related documents, minutes, agendas, etc.

Record minutes during meetings.

  • Responsible for meticulous calendar management, including planning meetings, and coordinating and communicating with multiple parties to schedule events.
  • Performs general and advanced clerical duties and administrative functions requiring advanced technology skills.
  • Compiles data (e.g. work orders, budget reports, specialized reports, personnel records, etc.) for the purpose of preparing reports or processing requests.
  • Coordinates assigned projects and / or program components (e.g. arrangements for conferences, meetings, travel requirements, equipment reallocation, certificate renewals, etc.

  • Interacts with internal and external persons (e.g. phone, email, in person, etc.) for the purpose of receiving and / or conveying information.
  • Maintains a variety of manual and electronic document files and records (e.g. department databases, calendars, work orders, timesheets, expense reimbursement requests, etc.

for the purpose of providing up-to-date information and / or historical reference in accordance with established administrative guidelines and legal requirements.

  • Maintains the inventory of supplies and materials (e.g. forms, office supplies, etc.) for the purpose of ensuring items’ availability.
  • Monitors a variety of activities (e.g. budget and program expenditures, certifications, employee complaints, etc.) for the purpose of ensuring that financial practices are followed and in compliance with district policies.
  • Prepares a variety of correspondence, reports, and other materials for the purpose of documenting activities, providing written references, and / or conveying information.
  • Processes a variety of documents and materials (e.g. timesheets, work orders, requisitions, travel reimbursements, etc.

  • Responds to a wide variety of program-specific and district-general inquiries from a variety of internal and external parties for the purpose of providing information, facilitating communication among parties, and / or providing direction.
  • Performs other duties as assigned.

Mental Functions, Physical Requirements, and Working Conditions :

While performing the duties of this job, the employee is regularly required to sit, stand, walk, go up and down stairs, operate foot and hand controls, and use a telephone and write.

Occasionally the employee must lift and / or move up to twenty (20) or more pounds. This position requires accurate perceiving of sound, near and far vision, depth perception, handling and working with educational materials and / or objects, and providing oral information.

Must have the ability to work for the duration of the daily contracted time period, and to be physically present and at assigned work, with only infrequent unexcused absences, during the contract year.

Additional technical skills, knowledge, and abilities may be recommended by immediate supervisor and approved by the Human Resources Director.
